As an integral member of the Health Information Management team, the File Clerk's responsibilities include, but are not limited to: record verification, batch assembly, quantitative and qualitative analysis scanning and indexing. File Maintenance duties include record retrieval, record delivery, filing, and purging records beyond the legal retention period. A computer, telephone, and multi-function unit for copying, printing and faxing are used daily. The File Clerk maintain strict confidentiality of all paitent information in accordance with the Personal Health Information Protection Act (PHIPA).

The physical demands of the role may include but are not limited to sitting, standing, walking, pushing, pulling, lifting and bending. This position contributes to ensuring there is a safe environment for patients, staff and visitors. Other duties as assigned as per job fact sheet.

Skills and Qualifications:

  • Successful completion of secondary school required
  • Medical terminology course required
  • Medical Office Administration Program certificate, required
  • Two (2) years currentย experience as a File Clerk, HIMย  in a health care setting is required
  • Current experience with the Meditech system modules
  • Current experience with various file systems including microfilm and record retention guidelines
  • Current experience with health record processes; record verification, batch assembly, quantitative/qualitative analysis, barcode reading, scanning and indexing is required
  • Detail oriented
  • Demonstrated knoweldge ofย  current Privacy laws and legislationย is required

  • Experience in high volume or repetitive / routine tasks
  • Demonstrated a commitment to customer service when dealing with patients, colleagues, volunteers and other members of the community and public.
  • Good communication skills (both written and verbal)
  • Excellent interpersonal and communication skills (both written and verbal) essential
  • Ability to work independently, with little supervisionย and in a team setting
  • Demonstrated ability to attend work on a regular basis is required.ย
