Position Overview
The Senior Operations Assistant (SOA) is an essential member of the Residential Living and Learning staff whose primary role is to support the coordination, implementation, and continuous improvement of facilities and operational initiatives within the residential communities. This position provides departmental support in the areas of facilities operations, student staff supervision, operational planning, access management, and administrative coordination.
The Senior Operations Assistant serves as a graduate-level leader within the Facilities & Operations functional area and assists in maintaining safe, functional, and student-centered residential environments. The position directly supervises undergraduate Operations Assistants (OAs) and collaborates regularly with the Coordinator of Facilities & Operations, Assistant Director of Facilities & Operations, Community Directors, and campus partners to support departmental operations
Responsibilities
The following responsibilities outline the major functions of the position and are not intended to be an exhaustive list. Throughout the year, staff may be asked to assist with additional duties based on departmental needs. Flexibility and adaptability are essential.
Facilities Operations & Maintenance
  • Assist with the coordination and oversight of operational and facilities-related tasks within residential communities.
  • Support routine inspections and walkthroughs of residential communities to identify facility concerns, safety hazards, and operational needs.
  • Assist in monitoring and tracking work orders and maintenance concerns through departmental systems.
  • Support preventative maintenance initiatives and operational improvement efforts.
  • Coordinate furniture movement, room preparation, signage updates, and operational projects as assigned.
  • Maintain operational standards that support safe, functional, and welcoming residential environments.
  • Assist with occupancy preparation efforts related to opening, closing, and transition periods.

Supervision & Staff Development
  • Directly supervise undergraduate Operations Assistants (OAs).
  • Assist with hiring, onboarding, training, scheduling, and ongoing development of OA staff.
  • Coordinate OA schedules and assist with maintaining appropriate operational coverage.
  • Provide clear expectations, guidance, accountability, and timely feedback to student staff members.
  • Support staff development efforts focused on professionalism, customer service, teamwork, and operational excellence.
  • Assist with mid-year and annual evaluations for OA staff members.
  • Foster a positive, collaborative, and team-oriented work environment.
Operational Planning and Coordination
  • Assist with operational planning and coordination for departmental projects and initiatives.
  • Support implementation and assessment of operational procedures and processes.
  • Maintain records, documentation, and operational tracking systems as assigned.
  • Coordinate communication between student staff and professional staff regarding operational needs and priorities.
  • Assist with project management efforts related to facility operations and residential services.
  • Participate in departmental meetings, trainings, and professional development opportunities.
Asset, Access, & Security Management
  • Assist with key inventories, access management processes, and operational security procedures.
  • Maintain confidentiality and accountability related to access systems, keys, and operational information.
  • Support asset management processes including inventory tracking and operational equipment oversight.
  • Assist with monitoring and reporting safety and security concerns within residential communities.
  • Ensure departmental technology and operational equipment are utilized appropriately and securely.
Emergency Response & Safety Support
  • Assist with operational response efforts during emergency facilities-related incidents.
  • Report safety concerns, policy violations, and facility emergencies to appropriate professional staff members.
  • Support departmental emergency preparedness and response efforts as assigned.
  • Maintain knowledge of university emergency procedures and operational protocols.
Administration
  • Assist with administrative projects, documentation, reporting, and operational correspondence.
  • Maintain accurate operational records and support departmental organization efforts.
  • Support the implementation of departmental policies, procedures, and operational expectations.
  • Assist the Coordinator of Facilities & Operations and other professional staff members with additional duties as assigned.
Teamwork & Department Engagement
  • Actively promote and model professionalism, teamwork, and staff unity.
  • Maintain open and consistent communication with supervisors and team members.
  • Demonstrate ongoing commitment to the mission and priorities of Residential Living and Learning.

Job Position Requirement
  • Must be enrolled as a graduate student at ETAMU.
  • Completion of application and interview as required for the selection process.
  • Positive conduct with RLL and ETAMU.
  • Must maintain a minimum GPA of 3.0.

The Senior Operations Assistant will be paid $13.33/hour on a biweekly basis. The Senior Operations Assistant is responsible for logging all hours in the Texas A&M University Single Sign On (SSO) system and may not work over 20 hours on campus. The Department of Residential Living and Learning will also cover the tuition for up to two classes (6 credit hours) each semester (Fall and Spring only). SOAs are responsible for paying any fees associated with registering for classes.
