Job Summary
The Facilities Manager is responsible for overseeing the physical condition, maintenance, and operational efficiency of all company sites. This role requires regular site visits to assess facility needs, coordinate preventive and corrective maintenance programs, and ensure all systems and equipment remain safe, compliant, and fully operational. The ideal candidate is a hands-on problem solver with strong technical knowledge and vendor management skills. We are looking for someone who is adaptable, eager to grow with the role, and willing to take on new challenges as our facilities needs evolve.
Key Responsibilities
Site Management & Inspections
  • Serve as the primary point of contact for site-level facility concerns including emergency response to urgent issues
  • Conduct regular visits to all assigned locations to assess facility conditions (internal and external, as applicable), identify issues, and prioritize maintenance needs
  • Maintain detailed records of site conditions, maintenance history, and upcoming service schedules
  • Perform minor repairs and handiwork as needed

HVAC & Mechanical Systems
  • Schedule and oversee annual HVAC inspections, filter replacements, and preventive maintenance contracts
  • Coordinate emergency HVAC repairs and ensure timely resolution of climate control issues
  • Manage regular maintenance and inspections of other mechanical systems including generators, plumbing (e.g., fixtures, piping, water heaters, backflow preventers) and electrical systems (e.g., panels, lighting, outlet checks, code compliance)

Property Services & Janitorial Oversight
  • Manage janitorial service contracts and ensure cleaning standards are met across all sites
  • Conduct periodic quality and recordkeeping audits and address deficiencies with service providers
  • Oversee specialty cleaning needs (carpet cleaning, pressure washing, post-construction cleanup, etc.)
  • Oversee landscaping and other property services as applicable (snow removal, etc.)

Vendor & Contractor Management
  • Source, vet, and manage relationships with contractors, service vendors, and suppliers
  • Obtain and compare bids for maintenance contracts and repair projects
  • Ensure all vendors carry appropriate licensing and insurance and comply with safety requirements

Budgeting & Compliance
  • Assist in developing the annual facilities maintenance budget and track expenditures
  • Ensure facilities meet applicable building codes, fire safety regulations, ADA requirements, and OSHA standards
  • Maintain documentation for all inspections, permits, and compliance certifications

Lease Management & Development Support
  • Maintain a centralized database of all facility leases, including key dates such as commencement, expiration, renewal options, and rent escalation schedules
  • Review lease terms to understand landlord vs. tenant maintenance responsibilities and ensure obligations are met on both sides
  • Serve as the primary liaison with landlords and property managers for day-to-day facility issues, lease administration, and dispute resolution
  • Support site development and exit processes, including condition assessments, punch lists, maintenance schedules, vendor contracts, as-built drawings, site handoff documents, and move-in/out requirements

Qualifications
  • 3-5 years of experience in facilities management, building operations, or a related field
  • Working knowledge of HVAC, plumbing, electrical, and general building systems
  • Experience managing vendors and service contracts
  • Familiarity with lease administration concepts including CAM reconciliations, rent escalations, and landlord-tenant obligations
  • Experience supporting or participating in new construction or tenant improvement projects preferred
  • Valid driver's license and willingness to travel to multiple sites regularly with potential to travel on short notice for time-sensitive situations
  • Strong organizational skills with the ability to manage multiple priorities simultaneously
  • Proficiency with facilities management software or CMMS (Computerized Maintenance Management System) a plus
  • Associate's or Bachelor's degree in Facilities Management, Engineering, or related field preferred; relevant certifications (CFM, FMP) a plus

Working Conditions
This position requires frequent travel between sites and periodic work in mechanical spaces, outdoors, and in varying environmental conditions. Some after-hours or weekend availability may be required for emergency response.
