Job description

The Executive Administrator provides high-level administrative support to the Chief Operating Officer and Executive Team, enabling them to lead effectively and focus on strategic priorities. This role requires exceptional discretion, responsiveness, and communication skills, as well as a proactive mindset and strong critical thinking abilities. The successful candidate consistently seeks more effective ways of working and demonstrates a passion for elevating lives through impactful initiatives while serving as a trusted partner to senior leadership.

Responsibilities

  • Manage and maintain the Executive’s calendar, coordinating internal and external meetings and ensuring optimal use of the Executive’s time.
  • Organize logistics for leadership meetings, including preparing agendas, capturing detailed meeting notes, and coordinating follow-up actions.
  • Maintain Executive correspondence by opening, sorting, filing, and distributing mail and email appropriately and in a timely manner.
  • Prepare reports, presentations, and other documentation as requested to support executive decision-making and communication.
  • Process and track expense reports for the Executive and liaise with accounting to ensure accurate and timely reimbursement and recordkeeping.
  • Handle confidential materials and information with professionalism, discretion, and strict adherence to privacy and confidentiality standards.
  • Assist in planning and executing internal events, trainings, and celebrations, ensuring smooth logistics and effective communication.
  • Provide coordination support for recruiting activities, including scheduling interviews, assisting with onboarding, and supporting annual review processes.
  • Support special initiatives and projects as assigned, with a focus on improving efficiency, communication, and cross-functional collaboration.
  • Assist the Executive in the completion of reports, correspondence, documentation, and expense reports, ensuring accuracy and completeness.
  • Track and provide statistical data and other metrics as needed by the Executive to support analysis and strategic planning.
  • Take on special projects as needed, adapting to changing priorities and contributing to organizational goals.

Essential Skills

  • Proven experience providing high-level administrative or executive support in a professional setting.
  • Strong proficiency with Microsoft Office, including applications such as Word, Excel, PowerPoint, and Outlook.
  • Demonstrated experience in calendar management and calendaring, including scheduling appointments and coordinating complex meeting schedules.
  • Solid administrative support skills, including document preparation, filing, and correspondence management.
  • Excellent written and verbal communication skills, with the ability to interact professionally with internal and external stakeholders.
  • High level of discretion and professionalism when handling confidential information and sensitive materials.
  • Strong critical thinking skills and a proactive mindset, with the ability to anticipate needs and resolve issues independently.
  • Outstanding organizational and time management skills, with the ability to manage multiple priorities and deadlines.
  • Attention to detail and accuracy in preparing reports, presentations, and expense documentation.

Pay and Benefits

The pay range for this position is $38.40 - $43.20/hr.
