Location: On-Site - Kāne'ohe, Hawai'i

Schedule: Full-time; open availability required, including weekends, evenings, and holidays based on event schedule.
POSITION SUMMARY
The Special Events Assistant provides operational and administrative support for events hosted at Kualoa Ranch. This role assists with event logistics, venue readiness, guest support, and post-event restoration to ensure events are executed smoothly and in alignment with Ranch standards.
Working collaboratively with internal teams and event clients, the Special Events Assistant helps ensure venues are properly prepared, maintained, and restored while supporting a welcoming and professional guest experience rooted in ho'okipa (hospitality).
KEY RESPONSIBILITIES
  • Assist with coordination and communication related to on-property special events.
  • Support event logistics including venue preparation, equipment staging, and signage placement.
  • Perform maintenance and cleaning of event venues and surrounding areas to ensure readiness and presentation standards.
  • Complete required paperwork, documentation, and contracting support tasks.
  • Coordinate and ensure proper setup of event spaces according to event specifications and confirm complete breakdown and restoration following event completion.
  • Greet event clients and guests at the start of events and provide on-site support as needed.
  • Remain available during events to help address venue or operational issues in a timely and professional manner.
  • Transport equipment and supplies using company vehicles as required.
  • Maintain a safe, clean, and organized work environment in alignment with Ranch safety standards.
  • Support cross-department collaboration to ensure event success and seamless operations.

MINIMUM QUALIFICATIONS
  • High school diploma or equivalent required.
  • 3+ years of clerical, administrative, event support, or operations-related experience preferred.
  • Excellent communication and customer service skills with the ability to interact professionally with guests, vendors, and internal teams.
  • Strong organizational and problem-solving skills with the ability to work independently.
  • Valid driver's license with 3+ years of driving experience and a good driving record required.

PHYSICAL & WORK ENVIRONMENT REQUIREMENTS
  • Ability to perform physical work in an outdoor environment.
  • Ability to consistently lift and carry up to 50 pounds.
  • Frequent standing, walking, bending, lifting, and carrying.
  • Outdoor work in varying weather conditions.
  • Ability to work evenings, weekends, and holidays based on event needs.
