Job description

We're seeking a Manager of Special Events! In this position, you would oversee Development fundraising and cultivation events to achieve department and organization fundraising goals, as well as manage the retail arm of the organization.

Essential Duties/Functions.
  • Fundraising Event Development, Management & Execution. Responsible for all aspects of planning signature Hawaiian Humane Society fundraising events (Tuxes & Tails, PetWalk, and others). Works closely with Hawaiian Humane Board members, donors, volunteers and committees specific to signature events. Responsible for developing and following a budget for each event, developing strategies for success, and achieving event outcomes. Creates event timeline and works closely with venue, vendors, designers and printers, and others associated with said event. Works with Community Engagement department in creating social media posts. In partnership with the Volunteer Services department, recruits, trains and manages volunteers for events. Executes said theme across all pieces of collateral. Also responsible for post-event reporting, distribution of mahalo gifts, generating invoices, follow-up on outstanding payments and auction winners, etc.
  • Cultivation & Other Events. Working with the Director of Development and the Manager of Annual Giving, creating and executing a series of cultivation, Planned Giving and “Mahalo” events throughout the year including: venue, invitation and all associated collateral, catering, set-up and break-down, managing RSVPs, and other related duties.
  • Community & Corporate Partnerships.Collaborates with individuals, communities and businesses to increase revenue and partner engagement. Works with internal and external contacts to identify and expand fundraising opportunities as well as sponsored adoption events. Secures corporate sponsorships related to events and directs community fundraising initiatives.
  • Retail. Responsible for managing retail aspect of Hawaiian Humane Society including retail associated with pop-up retails events, Pet Expo, PetWalk, and other opportunities as well as managing inventory, reporting, identifying strong selling items and creatively ordering new items.
Other Duties/Functions.
  • Performs other duties as assigned.
JOB CONDITIONS.
  • Hours:40 hour work week (schedule varies with specific event needs and can include nights and weekends). Signature events dictate the need for a flexible schedule.
  • Working Environment:Indoors in air-conditioned office and outdoors depending on the specific event needs. Work offsite at different locations across the island for various events.
  • Equipment Use:Computer, printer/copier, and telephone. Use of general office cleaning equipment and supplies. Various event related equipment.
  • Valid driver’s license, good driving record, access to own automobile and proof of no-fault insurance required.
MENTAL, PHYSICAL & COMMUNICATIONS DEMANDS.
  • Must be able to prioritize, work independently, problem solve and meet deadlines.
  • Must have a flexible disposition to work and engage with a variety of volunteers, supporters, and businesses.
  • Must exercise compassion, patience, professionalism, flexibility and tact when dealing with a broad range of volunteers and the public. Comfort and experience having difficult conversations.
  • Must maintain personal conduct, appearance, and office space as a professional. Includes professional appearance and tidy office areas.
  • Must handle people and animals in a pleasant, courteous, and professional manner.
  • Must be willing and able to set-up events, which can involve lifting boxes and other items up to 30 pounds with or without reasonable accommodation, hanging banners and other relevant duties.
  • Must be able to meet with various vendors and partners in person at indoor and outdoor locations.
  • Driving required to pick up or deliver materials, meetings and events
KNOWLEDGE/SKILLS.
  • Strong organization, reporting, and record-keeping.
  • Excellent interpersonal, verbal, and written communication skills.
  • Ability to prioritize multiple initiatives and meet deadlines.
  • Strong time and project management skills required.
  • Must have experience developing and managing budgets.

  • Strong ability to lead, manage and motivate volunteers and staff.
  • Must be able to travel
EDUCATION AND WORK EXPERIENCE.
  • Bachelor's degree or equivalent experience. Minimum three years of experience in fundraising event management, including strategic fundraising event plans, planning and implementing events, managing/working with volunteers and volunteer committees, required.
  • Knowledge of Canva and/or InDesign, Team Raiser, and Trellis a plus.
