The Experiential Coordinator supports the planning and execution of proprietary events by assisting Event Managers, Producers, and internal teams across key program areas. This role helps coordinate event logistics, budgets, documentation, and project timelines while ensuring details are accurately tracked and delivered on schedule. Experiential Coordinator Responsibilities 

  • Assist with and coordinate execution of various client events, supporting the Event Manager and Producer.
  • Attend client meetings to understand objectives, necessary work orders, budgets, and vendor management. 
  • Support ongoing efforts within housing & registration, venue planning, and Cvent tracking. 
  • Keep updates of event planning documents such as meeting minutes, project timelines, and tracking logs. 
  • Monitor planning process and ensure project objectives are accomplished in a timely manner. 
  • Maintain accurate job file for all assigned proprietary events as needed by the team. 
  • Collaborate with various team members and fill-in assistance where applicable. 
  • Own part of the process to reconcile project expenses, and verify accurate recording. 

Requirements

Event Coordinator Requirements & Qualifications

  • Bachelor's Degree or Associates Degree within Event Management, Marketing, Hospitality, or similar required. 
  • Must have 1+ years relevant event or experiential marketing coordination, internship, or equivalent experience. 
  • Prior knowledge of Cvent or event databases preferred. 
  • Highly organized and comfortable meeting expectations with little supervision in a fast-paced environment.
