Entry level event coordinator for WEG Events

Location:

Winter Park, FL

This is an in-office position based in Winter Park, FL and is not a remote role. Only candidates currently residing in the local area will be considered.

Job Overview

WEG Events is seeking a motivated and detail-oriented Event Coordinator to support the planning and execution of corporate events including executive meetings, conferences and customer experiences. This role is ideal for someone looking to grow a career in event production and gain hands-on experience in a fast-paced environment.

The Event Coordinator will assist senior producers and project managers with logistics, vendor coordination, venue sourcing, client pitch decks, team travel, production timelines, onsite execution, and administrative support throughout the event lifecycle as well as staying top on new event technologies and trends.

Responsibilities and Duties

  • Support overall event team during the full event life-cycle: discovery, planning, implementation and closure
  • Conduct research on varying industry trends including new vendors, locations and technology
  • Manage travel and accommodations for event staff
  • Generate comprehensive post-event reports
  • Create and manage registration websites
  • Maintain project files, contact lists, and production documents
  • Coordinate shipping schedules and manage packing lists
  • Support internal team meetings and brainstorming sessions
  • Communicate with vendors, venues, hotels, and production partners regarding deliverables and deadlines
  • Assist with gathering proposals, pricing, and availability from suppliers
  • Support client communication through meeting notes, status updates, and follow-up items
  • Help manage inventory and shipping for event materials and giveaways
  • Other duties as assigned

Qualifications

  • Live in Greater Winter Park or Orlando, FL area โ€“ position is in office
  • 1 โ€“ 2 years' experience in a production company, event planning or DMC a plus
  • Basic knowledge of graphic design software a plus
  • Highly proficient in Microsoft Word, Excel and PowerPoint
  • Exceptional in oral and written communication
  • Detail โ€“ oriented and well organized with the ability to multi-task
  • Able to work efficiently under tight deadlines both individually and with a team
  • Able to think conceptually and creatively
  • Available to travel on nights and weekends as needed both domestic and international
