Job description

Job Summary:

The Event Management Coordinator is responsible for managing all aspects of the event/catering process, providing exceptional customer service, and ensuring every order is executed accurately and on time. This role serves as the primary point of contact for catering customers by answering phone calls, responding to email inquiries, assisting with menu selections and portion recommendations, and coordinating orders from start to finish.

The right person for the Event Coordinator position will be highly organized and able to easily multitask. Every little detail matters!

This is a fully onsite position in Delray Beach, FL. Monday through Friday.

Responsibilities:

  • Meet with customers to understand their needs and expectations for events
  • Answer incoming phone calls and respond promptly to order emails and customer inquiries.
  • Assist customers with menu selections, portion sizes, pricing, and recommendations based on their event needs.
  • Communicate order details, special requests, deadlines, and changes to kitchen, bakery, deli, produce, and other departments as needed.
  • Verify that all event and platter orders are complete, accurate, and ready by the scheduled pickup or delivery time.
  • Coordinate with delivery drivers to ensure timely and accurate deliveries.
  • Occasionally deliver catering orders when business needs require.
  • Confirm orders with customers and communicate any updates or changes.
  • Monitor daily order schedules and prioritize orders to ensure deadlines are met.
  • Resolve customer concerns professionally and efficiently while providing outstanding customer service.
  • Maintain organized records of catering orders, invoices, and customer communications.
  • Maintain knowledge of all catering menu offerings, seasonal items, pricing, and promotions.
  • Uphold company standards for customer service, professionalism, and accuracy.
Requirements:
  • Previous experience as catering coordinator and/or chef/culinary - Required
  • Excellent verbal and written communication skills.
  • Strong organizational skills with the ability to manage multiple orders and deadlines simultaneously.
  • Ability to provide menu recommendations and accurately assist customers with portion sizes.
  • Strong attention to detail and commitment to order accuracy.
  • Comfortable working in a fast-paced environment while maintaining professionalism.
  • Proficient with computers, email, and software tools (Microsoft Office Suite)
  • Valid driver's license and clean driving record preferred, as occasional deliveries may be required.
  • Ability to work flexible hours, including weekends and holidays as business needs required.
