Job description

The HR Operations Assistant provides support to Insa's centralized, multi-state HR Operations Center, performing administrative work related to the employment lifecycle. This person must possess a compliance mindset and maintain a high degree of confidentiality when handling sensitive information. This is a part-time, onsite position expected to work 20 - 25 hours per week on weekdays.

Responsibilities & Duties

Provides support to the HR Operations Center, performing administrative actions related to onboarding, employment changes, and terminations within various software platforms

Administers I-9 process with new hires within E-Verify+ platform, including creating cases and meeting with prospective employees for virtual document review; audits I-9s and maintains shred log

Creates and sends new hire emails and arranges orientation sessions

Assists the HR Operations Manager with multi-state background check and licensing processes as needed; scans, saves, and distributes MA agent license cards

Maintains electronic personnel files, including downloading and saving documents from the HRIS and other software systems

Manages the HR inbox, including completing employment verifications, password resets, and other administrative duties and forwarding inquiries to the appropriate team members

Champions a safety culture where employees follow safety guidelines and regulations

Behaves in a manner that is positive, productive, cooperative, and encourages teamwork

Performs other duties as assigned

Qualifications & Skills

High school diploma or GED required

At least one year of administrative experience required

Must be 21 years of age or older

Must have reliable transportation

Must be able to pass a background check in accordance with state regulations

Experience in an entry level human resources position preferred

Notary certification in Massachusetts preferred

Proficient in Microsoft Office 365 suite of products

Experience using HRIS systems preferred but general proficiency with and aptitude for software systems is acceptable

Fast typing speed (60+ wpm) highly preferred

Must possess excellent interpersonal skills; customer service experience highly valued

High attention to detail and organizational skills required

High degree of confidentiality when viewing sensitive organizational information

Must be punctual, responsive, and have excellent verbal and written communication skills
