Job description

Role Overview

We are searching for Document Controllers and Document Control Administrators to support upcoming operations, capital projects, and data migration initiatives. In this role, you will be the gatekeeper of project documentation and process safety information—ensuring that critical engineering drawings, records, and metadata are accurate, accessible, and compliant across various Electronic Document Management Systems (EDMS).

Whether you are an early-career drawing coordinator or a senior document controller experienced in managing EPC contractor deliverables and large-scale cloud database migrations, we want to connect with you.

Key Responsibilities

  • System & Drawing Management: Coordinate, receive, track, distribute, and archive technical drawing requests and issue packages utilizing Electronic Document Management Systems (e.g., Meridian, LiveLink, Falcon).
  • Data Integrity & Legacy Clean-up: Ensure strict metadata quality. Identify and resolve drawing discrepancies, including fixing broken hybrid drawings (CAD x-reference issues) and updating outdated PDF renditions to match approved master files.
  • Project & Contractor Support: Monitor Engineering Contractor document control activities, track deliverable approvals through the project lifecycle (Design, IFC, As-built), and ensure successful final handover at project milestones.
  • Data Migration Execution: Support large-scale database transitions (e.g., cloud-to-cloud migrations) by accurately transferring high volumes of files, batch loading data, manually updating metadata, and linking assets in SAP.
  • As-Built Consolidation: Coordinate the integration of approved as-built updates into master records, ensuring final drawings are published and available prior to project turnover.
  • Training & Stakeholder Guidance: Provide efficient, secure system access to users. Develop procedures, written communications, and training materials to help internal teams and external vendors navigate drawing management systems.

Position Requirements & Qualifications

  • Experience: 0 to 5+ years of experience in document control, records management, or data migration, preferably within the engineering, construction, or oil & gas industries.
  • Education: High School diploma or GED required. A related Technical Diploma, Associate's, or Bachelor's degree in business, records management, or a related field is highly preferred.
  • Software Proficiency: Strong working knowledge of Microsoft Office (Excel, Word, Outlook). Experience with EDMS platforms (Meridian, LiveLink, Falcon, SharePoint 2013) is required.
  • Technical Knowledge: Familiarity with SAP (R3/S4), Bluebeam, BIM-JIRA, or basic AutoCAD drafting skills is a strong asset.
  • Core Competencies: High aptitude for accurately processing large volumes of data, excellent organizational and time-management skills, and a strong customer-service focus for supporting diverse project teams.
