Job description

The Document Control Specialist willย be responsible forย managing andย maintainingย accurate, organized, andย timelyย project documentation across multiple active energy and infrastructure projects. This role plays a keyย partย in supporting project execution from pre-construction through closeout by ensuring all documentation, records, and deliverables are properly controlled, tracked, and distributed. The Document Control Specialist will work closely with project managers, engineers, subcontractors, and vendors to support efficient communication, compliance, and project delivery.ย 

What You'll Do
  • Manage the full lifecycle of project documentation including RFIs, submittals, change orders, contracts, drawings, and closeout packagesย ย 
  • Maintain and organize document control systems such asย Procore, Unifier, ShareFile, Dropbox, and SharePointย ย 
  • Ensureย accurateย version control, naming conventions, and document distribution across project teamsย ย 
  • Track and update drawings, revisions, redlines, and technical documentation across multiple projectsย ย 
  • Support project closeout including as-builts, O&M manuals, turnover packages, and final deliverablesย ย 
  • Coordinate document flow between project managers, engineers, subcontractors, suppliers, and ownersย ย 
  • Maintain logs and reporting for RFIs, submittals, meeting minutes, and action itemsย ย 
  • Track material deliveries,ย logisticsย documentation, and equipment records as neededย ย 
  • Support compliance tracking including subcontractor insurance, contracts, bonds, and lien waiversย ย 
  • Assistย with audits, documentation requests, and project reporting requirementsย ย 
  • Support general project coordination and administrative needs asย requiredย 
Who You Are
  • 5+ years of experienceย in document control, project coordination, construction administration, or related fieldย ย 
  • Strong understanding of construction documentation workflows including RFIs, submittals, change orders, and closeout processesย ย 
  • Proficient in document management systems such asย Procore.ย 
  • Experience managing multiple projects simultaneously in fast-paced environmentsย ย 
  • Strong organizational skills with exceptional attention to detail and accuracyย ย 
  • Excellent communication skills with ability to work across field teams, office staff, subcontractors, and clientsย ย 
  • Experience with material tracking,ย logisticsย coordination, or procurement documentation preferredย ย 
  • Familiarity with project closeout and turnover processes is a plusย 
Nice to Haveย 
  • Exposure toย solar PV, battery energy storage systems (BESS), wind, or utility-scale infrastructure projectsย ย 
  • Experience supporting EPC, owner's representative, or renewable energy construction teamsย ย 
  • Familiarity with commissioning documentation, turnover packages, and O&M manual developmentย ย 
  • Understanding of subcontractor compliance tracking (insurance certificates, bonds, lien waivers, contracts)ย ย 
  • Experience supporting cost tracking, pay applications, or project financial documentationย ย 
  • Construction documentation or records management training (Aconex, Unifier, or similar platforms)ย ย
