The Role: Project Assistant

As a Project Assistant, you will support construction projects by managing documentation, tracking records, and coordinating routine workflows. This role exists to ensure project information is accurate, organized, and accessible to support daily operations.

You will maintain document control processes, support communication across teams, and help keep construction activities aligned with established procedures. This is an on-site role supporting active construction environments.

What You’ll Do
  • Maintain document control records, including revisions, distributions, and transmittals.

  • Process and track project documents, service requests, and work orders.

  • Prepare and distribute document transmittals and project correspondence.

  • File and organize documents to support retrieval and audit readiness.

  • Support document control workflows using tools such as Procore.

  • Enter and manage data within tracking systems and spreadsheets.

  • Assist with internal audits and ensure documentation follows established procedures.

  • Coordinate meetings and support scheduling for internal and external stakeholders.

  • Assist with construction tours and basic event coordination.

  • Manage and issue PPE for construction team members.

  • Prepare routine reports, including weekly and monthly updates.

  • Provide general administrative support to the construction team.

Required:

  • High school diploma or equivalent.

  • 1–4 years of experience in administrative support, document control, or project coordination.

  • Experience managing files, records, or structured documentation systems.

  • Basic to intermediate proficiency in Microsoft Office tools.

  • Familiarity with construction documents and terminology.

Preferred:

  • Experience with Procore, Bluebeam, Smartsheet, or similar tools.

  • Associate degree or relevant coursework in construction, business, or related field.
