Job description

As the BETA team grows, we are looking for an Office Coordinator to join our Team in Montreal. In this role, you will help ensure that our team members are well supported, informed, and enabled to be great! You'll work cross-functionally with our larger Beta team, and help optimize processes - all while growing your experience in a fast-paced, purpose-driven company. This isn't a box, just the core. How you will contribute to revolutionizing electric aviation:

Support smooth & efficient Montreal HQ day to day activities:

  • Oversee day-to-day operations of the Montreal facility (~85 team members), including supplies, equipment, vendor/maintenance coordination, and visitor management.
  • Organize company events and large meetings, lead ad hoc committees, and support logistics for internal training programs.
  • Develop and deliver French & English documentation, training materials, and internal communications tailored to the Montreal team.

Support the Canadian local activities in both French & English and interface with the rest of our organization to maintain alignment and consistency:

  • Facilitate onboarding of new team members
  • Support year-round intern hiring and maintain relationships with local universities to build a pipeline of emerging talent.
  • Partner with IT, Finance, Accounting, Legal, and the broader Team Operations group for reporting and to align Canadian operations with company-wide standards while adapting to local requirements.

Minimum Qualifications:

  • Bachelor's degree in Business Administration, HR, or related field (or equivalent experience); prior coordination experience, particularly in a startup environment, is a strong asset.
  • Full professional proficiency in both French and English (written and spoken).
  • Advanced MS Office skills, particularly in Excel
  • Exceptionally organized, able to juggle multiple deadlines, and maintain a high standard of data accuracy and consistency.
  • Clear, confident communicator who is empathetic, service-oriented, and trusted to handle information with discretion.
  • Resourceful, independent, and motivated to grow - comfortable exercising sound judgment in a fast-paced, high-growth environment.

Soutenir le fonctionnement fluide et efficace de notre siege social a Montreal:

  • Prendre en charge les activites administratives generales et la gestion de bureau de Montreal (environ 85 co-equipiers): fournitures de bureau, equipement, coordination avec les fournisseurs/prestataires, gestion des visiteurs.
  • Organiser et superviser les evenements annuels et les reunions d'envergure, gerer les comites ad hoc et la logistique des formations internes.
  • Elaborer et distribuer la documentation en francais et en anglais, les materiels de formation et les communications internes adaptes a l'equipe de Montreal. 

Appuyer les activites locales pour le Canada en Francais et en Anglais, et interagiravec le reste de l'organisation pour maintenir l'alignement et la coherence de nos actions: 

  • Faciliter l'integration des nouveaux membres d'equipe
  • Soutenir l'embauche de stagiaires toute l'annee et maintenir les relations avec les universites locales pour constituer un vivier de talents emergents.
  • Collaborer avec les equipes IT, Finance, Comptabilite, Juridique et le groupe Team Operations etendu pour aligner les operations canadiennes sur les normes a l'echelle de l'entreprise tout en s'adaptant aux exigences locales.

Qualifications minimales :

  • Un baccalaureat en Administration des affaires, Ressources Humaines, ou un domaine connexe (ou experience pertinente equivalente) ; experience en coordination, plus particulierement dans un environnement d'entreprise en demarrage, un atout. 
  • Maitrise parfaite du francais et de l'anglais (ecrit et parle). 
  • Competences informatiques fortes, y compris la suite MS Office et particulierement Excel. 
  • Exceptionnellement minutieux, avec la capacite de gerer plusieurs taches et delais en parallele tout en maintenant l'integrite des donnees. 
  • Excellent(e) communicateur/communicatrice, faisant preuve d'empathie et oriente(e) vers le service - digne de confiance pour traiter les informations avec discretion.
  • Independant(e) et motive(e) a se developper ; capacite demontree a travailler de maniere independante et a exercer un jugement sain dans un environnement dynamique et en forte croissance.
