The Huntsville-Madison County Airport Authority is accepting applications for the position of Administrative Assistant II - Legal and Operations. Applicant will be responsible for providing administrative support to the Chief Legal Officer (CLO) and the Chief Operations Officer (COO), including calendar management, meeting coordination, contract assistance, and recordkeeping. Position will also assist the Executive Assistant as needed with respect to the overall operation of the administrative office and the central administration support functions of the Airport Authority.
Applicant should have a knowledge of:
  • Executive administrative principles, practices, and procedures.
  • Modern office procedures and the operation of standard office equipment.
  • Contract administration, document control, and records management practices.
  • Legal terminology, legal document preparation, and contract review procedures.
  • Litigation support processes, including document organization and records collection.
  • Preparation, review, formatting, and routing of legal documents, contracts, leases, agreements, and resolutions.
  • Agenda preparation and meeting administration.
  • Confidentiality standards and the proper handling of sensitive legal and executive information.

Applicant should have skill in:
  • Executive level and/or legal administrative support.
  • Organizing and coordinating meetings, calendars, travel, and executive schedules.
  • Preparing, proofreading, and formatting correspondence, reports, contracts, agendas, meeting minutes, and other operational and legal documents.
  • Contract administration and document management.
  • Maintaining databases, spreadsheets, dashboards, and tracking systems.
  • Researching and compiling operational, legal, and regulatory information.
  • Microsoft Office applications, particularly advanced Word, Excel, Outlook, and PowerPoint.
  • Written and verbal communication.
  • Time management, organization, and prioritization of multiple assignments.

Applicant should have High school diploma or GED. Three years of experience providing administrative support to a practicing attorney (in-house or law firm) required. Paralegal certificate preferred.
