Job Summary:

DataField Technology Services is seeking a highly organized and customer-focused Customer Service & Dispatch Coordinator for a 6-month contract-to-hire opportunity with our client. 


In this role, you'll manage incoming customer calls, service dispatching, scheduling, and general support to ensure excellent customer service and efficient field operations. 


Ideal candidates are highly adaptable, thrive in fast-paced environments, and are comfortable balancing multiple administrative tasks with a high attention to detail.


Key Responsibilities:

  • Handle all incoming customer calls, including dispatching service technicians, tracking call status, scheduling service visits, updating site information, and addressing general inquiries.
  • Create and dispatch work orders for planned maintenance and service tasks.
  • Attend and contribute to weekly planning meetings and service paperwork reconciliation.
  • Manage Service Agreement work orders and ensure timely completion.
  • Monitor subcontractor pricing and process/approve service-related invoicing.
  • Enter purchase orders into internal systems and process associated documentation promptly.
  • Enter customer information into internal systems, while populating site and service agreement information.
  • Maintain and enhance customer service binders to optimize satisfaction and service delivery.
  • Source and procure parts/materials needed for service work orders.
  • Generate service quotes in collaboration with service department leadership.
  • Coordinate monthly maintenance schedules and communicate with customers and subcontractors; track expiring contracts and upcoming visits.
  • Implement customer satisfaction follow-up procedures and provide feedback to senior management.
  • Support badging and access management for technicians, including training compliance and log maintenance.
  • Perform other administrative and operational tasks as assigned.


Requirements

 What You'll Need:

  • Experience is dispatching and or schedule coordination for field service technicians
  • Experience in a customer service-supporting role
  • 1-3 years in a call center, dispatch, or administrative support role.
  • Experience in construction, facilities management, or service industry environments is a plus.

Technical Skills:

  • Must be proficient in Microsoft Outlook, Excel, PowerPoint and Word. 
  • Experience with ERP systems (Dynamics 365, a plus) and work order software (ServiceNow, a plus).

Soft Skills:

  • Exceptional phone etiquette and customer service skills.
  • Strong organizational skills with the ability to multitask and adapt to shifting priorities.
  • Well-spoken, articulate, and able to communicate with customers.
  • Basic financial literacy (e.g., understanding of POs, invoices, work orders).
  • Ability to work independently in a fast-paced, team-oriented environment.

Education: College degree, trade school, or equivalent experience.


Contract Details:

  • Duration: 6 months with potential for permanent hire.
  • Schedule: Full-time; Monday through Friday - may include occasional after-hours support.
