Experienced Dealership Professional – Dealertrack DMS

$60,000–$75,000+ per year, based on experience

Baraboo, Wisconsin

Are you an experienced dealership office professional who knows how to keep the back office running smoothly?

Are you tired of working in a large corporate dealership where you're just a number?

We may be looking for you.

We are a family-owned and operated Stellantis dealership in Baraboo, WI, and we're looking for an experienced Dealership Office Manager to join our team.

This is a key position in our dealership. We're looking for someone who understands dealership accounting and office operations, knows how a deal should flow from the salesperson's desk through accounting, and takes pride in making sure the details are right.

If you have Dealertrack DMS experience and dealership office experience, we'd like to talk with you.

THIS IS NOT A TYPICAL OFFICE MANAGER POSITION

We're looking for someone who understands the dealership business.

You should be comfortable with:

  • Deal jackets and deal processing
  • Vehicle titles and registrations
  • Accounts payable and accounts receivable
  • Dealership accounting
  • Bank and account reconciliations
  • Floorplan accounting
  • Month-end closing
  • DMV and title work
  • Customer and lender paperwork
  • Dealertrack DMS
  • Working with sales, service, parts, finance and management
  • Keeping the dealership organized and compliant

You don't have to know everything on day one, but dealership experience is important.

WHAT YOU'LL DO

As our Office Manager, you'll have an important role in the day-to-day operation of the dealership.

Responsibilities will include:

  • Managing the dealership's office and accounting functions
  • Processing and reviewing vehicle deals
  • Ensuring deal paperwork is complete, accurate and properly funded
  • Managing titles, registrations and related paperwork
  • Accounts payable and accounts receivable
  • Bank and account reconciliations
  • Floorplan and inventory-related accounting
  • Assisting with month-end financial statements and closing
  • Working with our manufacturer and other business partners
  • Working with banks, lenders and vendors
  • Maintaining accurate customer, vehicle and accounting records
  • Monitoring receivables, payments and outstanding items
  • Preparing reports for management
  • Helping ensure dealership policies and procedures are followed
  • Identifying problems and getting them resolved before they become bigger problems
  • Supporting dealership management and ownership with administrative and financial information
DEALERTRACK EXPERIENCE

Dealertrack DMS experience is strongly preferred.

If you're currently using Dealertrack and understand dealership accounting and deal processing, that is a major advantage.

Experience with Stellantis dealerships is also a plus.

WHO WE'RE LOOKING FOR

The right person will be:

  • Experienced in dealership office or accounting operations
  • Comfortable working in a dealership DMS
  • Highly organized and detail-oriented
  • Accurate with numbers and paperwork
  • Dependable and trustworthy
  • Able to work independently without constant supervision
  • Someone who notices when something doesn't look right
  • Comfortable communicating with employees, customers, lenders, vendors and management
  • Someone who takes ownership of their responsibilities
  • Looking for a long-term home, not just another job

We would especially like to hear from experienced dealership office managers, office supervisors, controllers, assistant controllers and experienced dealership accounting professionals.

WHY WORK WITH US?

We're different from the large corporate dealership groups.

We're a small, family-owned dealership, and we believe that makes a difference.

You’ll know the people you work with. You’ll have direct access to management and ownership. Your ideas will be heard, and the work you do will have a direct impact on the dealership.

We value people who are loyal, hardworking, honest and willing to take responsibility for getting the job done.

We aren’t looking for someone to simply sit behind a desk and process paperwork.

We're looking for someone who wants to be an important part of our dealership.

COMPENSATION & BENEFITS

$60,000–$75,000+ annually, depending on experience and qualifications
