Job description

Overview
Provides administrative and operational support with a strong focus on HR-related tasks. This role assists with employee onboarding, maintaining personnel records, coordinating travel, managing equipment requests, and supporting daily operational functions. The ideal candidate is detail-oriented, organized, and able to manage multiple priorities in a fast-paced environment.
Responsibilities
Human Resources Support
  • Assist with new hire onboarding ensuing accuracy in system.
  • Maintain and update employee personnel files. Supporting employee changes and terminations.
  • Help coordinate employee engagement activities, recognition programs, and internal communications.

Operations & Administrative Support
  • Prepare and update operations reports, spreadsheets, and tracking documents.
  • Assist with auditing data for accuracy, ensuring information is up-to-date and properly documented.
  • Support management with general administrative tasks including scheduling, filing, data entry, and correspondence.

PPE, Equipment & Supplies Management
  • Process and track PPE orders, ensuring employees receive required protective equipment on time.
  • Order and distribute company cell phones, accessories, and replacements while maintaining an accurate inventory log.
  • Coordinate additional operational supplies as needed.

Travel Coordination
  • Arrange travel for employees, including booking flights, hotels, rental vehicles, and preparing detailed travel itineraries.
  • Ensure travel plans align with company policies and budget requirements.
  • Track travel confirmations, reimbursements, and associated documentation.

Customer & Operational Reporting
  • Assist with preparing customer-facing operational or financial reports as needed.
  • Help audit internal data to ensure accuracy before submitting reports to stakeholders.

Qualifications
  • 1-2 years of administrative, HR assistant, or operations support experience preferred (entry-level candidates with strong skills may be considered).
  • Strong organizational skills with excellent attention to detail.
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook).
  • Strong written and verbal communication skills.
  • Ability to maintain confidentiality and handle sensitive information.
  • Comfortable working independently and managing multiple tasks simultaneously.
