Job description

George Fox University's Advancement department is seeking a quick learner with technical expertise and outstanding analytical skills to further develop data processes within our Salesforce CRM that will allow Advancement and our internal partners across the university to engage a greater number of George Fox alumni, parents, and friends as supporters.


About the Job:

The Assistant Director of Advancement Operations will have a vital role in the day-to-day administration and configuration of the Salesforce database. Working closely with the University Advancement's Investment, Donor Relations, and Engagement teams, the Assistant Director will help continually enhance and improve the platform. They will identify, test, and deploy new business processes and best-practice solutions working in a collaborative environment.


Job responsibilities include, but are not limited to:

  • Supporting CRM Analytics and Process Development (45%)
    • Helping to configure the platform for implementation and upgrades.
    • Troubleshooting software issues to keep data security as top priority.
    • Assisting with the department's understanding of its constituents and working collaboratively with colleagues to develop strategies to identify metrics and build reports for the advancement of the organization's goals.
    • Researching and maintaining CRM as issues are identified to maintain correct donor giving data.
    • Supporting the development and maintenance of daily, monthly, and annual audits to ensure complete accuracy in processing and data integrity.
    • Following department policies and procedures; adhering to industry best practices and IRS regulations.
    • Developing mailing lists for membership, major gifts, grants, events, annual programs, and campaigns.
    • Helping to develop and maintain best practices and standards for data organization and presentation.
    • Assisting with supervision of the operations team's student workers.
  • Automation and Integration (30%)
    • Assisting the Director of Advancement Operations with research, testing, and implementation of third-party integrations with the ability to troubleshoot and maintain the integrations.
    • Assisting the Director of Advancement Operations with identifying automation needs and researching, testing and implementing systems that could improve workflow of Advancement team.
    • Continuously improving efficiency to reduce financial costs to the University and improving the overall donor gift process and donor identification through these various types of automation and integration.
  • Salesforce Training (20%)
    • Providing training for team members who need assistance.
    • Providing training for Advancement partners who have Salesforce access.
    • Creating report templates and dashboards, as well as prioritizing support to Advancement teams.
    • Utilizing and seeking out opportunities to set personal goals, take classes, and improve platform administration and automation skills.
  • Gift Processing and Tracking (5%)
    • Supporting the Campaign and Gifts Coordinator with data support and troubleshooting when issues arise.
  • Maintaining strict confidentiality and adhering to donor privacy requests and FERPA compliance at all times.
  • Communicating effectively and courteously with others, including employees, students, and the public, in a spirit of teamwork, respect and customer service.
  • By actions, words, and lifestyle, be a Christian role model to students, whether through casual contact or in a formal supervisory role.
  • Demonstrated experience working cross-culturally with respect, appreciation and humility.
  • Other duties as assigned.

A day in the life of this position:

The activities of the Assistant Director of Advancement Operations will be focused on three primary areas of responsibility: 1) supporting the current CRM and database activities, resulting in revenue growth; and 2) identifying and providing solutions for standardization and organization of team processes; and 3) researching, testing, and implementation of automations and integrations to improve efficiency. A typical day on the job will involve analyzing data trends, troubleshooting database issues, and collaborating with teams to optimize processes. The Assistant Director of Advancement Operations attention to detail and proactive problem-solving approach will be vital, contributing significantly to the organization's operational efficiency and revenue growth.

We're looking for candidates who have:

  • A Bachelor's Degree in Computer Science, Engineering, or related field.
  • Three or more years of related work experience.
  • Experience with Client Relations Manager, preferably Salesforce.
  • Strong communication and interpersonal skills.
  • The ability to communicate effectively in the English language, both verbally and in written form.
  • A high attention to detail and organization skills.

  • Salesforce experience.
  • Experience working with PeopleSoft software or another non-profit database.
  • Working knowledge of non-profit fundraising.
  • Proficiency with Microsoft Excel.
