Job description

Operations Assistant

The Operations Assistant provides direct, hands-on support to the Director of Operations, with a primary focus on financial data entry, bookkeeping coordination, and day-to-day administrative support. This role is essential to maintaining accurate financial records, keeping office operations running smoothly, and freeing the Director of Operations to focus on leadership, planning, and parish-wide initiatives.

This is a trust-based role that requires discretion, reliability, and a high degree of follow-through. The ideal candidate is organized, comfortable in a financial support function, and energized by behind-the-scenes operational work. This person should be someone who moves confidently from information to action, brings a steady and calm presence to the office, and thrives in the detail layerchecklists, follow-through, and closing the loop.

Key ResponsibilitiesFinance & Bookkeeping Support
  • Enter bills, invoices, and receipts into accounting software accurately and in a timely manner
  • Record deposits and ensure donor records are updated accordingly
  • Maintain organized, complete financial records including receipts and supporting documentation
  • Follow up on missing receipts, approvals, or required documentation
  • Prepare basic financial tracking summaries as requested
  • Support financial controls by maintaining clear, audit-ready records

Administrative & Office Operations
  • Serve as a primary point of contact for incoming calls, emails, and office visitors during scheduled hours
  • Manage and respond to the parish office email inbox, routing inquiries and flagging time-sensitive items
  • Coordinate meetings, calendars, reminders, and scheduling for the Director of Operations
  • Track assignments, deadlines, events, and operational follow-through
  • Maintain parish database and assist with general recordkeeping
  • Assist with scheduling vendors, tracking facility-related service requests, and event logistics
  • Provide additional administrative and operational support consistent with the overall scope of the role
Qualifications & Skills
  • Ability to manage multiple tasks and follow through reliably without close supervision
  • Clear, professional communication in person, by phone, and in writing
  • Comfortable with financial data entry, recordkeeping, and basic bookkeeping processes
  • Experience with QuickBooks Online preferred; demonstrated ability to learn new software tools quickly is essential. Familiarity with Asana or similar task management tools a plus.
  • Able to maintain confidentiality and exercise sound judgment, particularly around financial records
  • Enjoys detail-oriented work and takes satisfaction in consistency, completion, and operational support
  • Steady, even-keeled temperamentsomeone who brings calm and focus rather than absorbing or amplifying stress in the office
  • Orthodox background not required; however, comfort working within a faith community and an understanding of the relational culture of a church environment is important
Position Details
