We are seeking a motivated Workforce Planning Analyst to support Fleet-wide workforce efficiency by coordinating schedules for key shipboard positions, ensuring global coverage, and optimizing workforce plans across all vessels. The role blends scheduling execution with analytical support, providing data-driven insights that improve staffing efficiency, cost control, and compliance. This position also serves as the operational bridge between corporate Fleet Planning leadership and schedulers across our staffing agencies in Asia & UK, ensuring consistent standards and smooth repositioning of crew.

Responsibilities

Scheduling & Workforce Coordination

  • Create and maintain schedules for designated shipboard positions, ensuring operational readiness across all vessels.
  • Serve as backup support to schedulers in Asia, providing coverage during high-volume periods, leave, or urgent staffing needs.
  • Monitor Par Levels to ensure all ships remain adequately staffed and compliant with internal and regulatory requirements.
  • Oversee and maintain the gap pool to ensure sufficient candidates are available for vacancies resulting from new hires, terminations, promotions, or ship movements.
  • Coordinate with staffing agencies to confirm availability, readiness, and documentation for assigned candidates.

Analysis & Reporting

  • Analyze historical travel data, turnover trends, and operational patterns to support accurate forecasting and long-term manpower planning.
  • Prepare scheduled reports including workforce forecasts, staffing gaps, compliance status, and travel data air/hotel usage.
  • Maintain dashboards and KPI trackers used by the Senior Manager and Director for decision-making.

Systems & Process Management

  • Use Adonis, Excel, and other scheduling tools to optimize planning cycles and employee rotation schedules.
  • Recommend process improvements to strengthen scheduling efficiency, reduce errors, and enhance global coordination.
  • Maintain accurate, timely data across all systems, ensuring integrity of rotation patterns, crew profiles, and embarkation timelines.

Compliance & Training

  • Ensure full compliance with all training matrix requirements, including regulatory (STCW, MLC, Flag State) and company-required trainings, certificates, and licenses.
  • Liaise with staffing agencies and shipboard leaders to verify training renewals, validity dates, and document submissions.
  • Support company programs including referrals, promotions and cross-departmental initiatives that impact fleet crewing.
  • Suggest policies based on observations.
  • Other duties as assigned.
Qualifications
  • Bachelor's degree in Business, Operations Management, HR, Statistics, or related field; equivalent relevant experience considered.
  • At least 2 years of experience in scheduling, workforce planning, crewing operations, or analytical support.
  • High proficiency in Microsoft Excel; experience with workforce/scheduling systems preferred.
  • Excellent organizational skills, and ability to work cross-functionally in a fast-paced environment.
  • Ability to manage multiple priorities and respond quickly to operational demands.
  • Familiarity with international maritime safety, training, and crew-welfare requirements that govern how seafarers are certified, trained, and treated onboard the ships.
  • A positive, approachable personality with strong communication skills and the ability to articulate information clearly and confidently.
  • Experience analyzing workforce data, forecasting staffing needs, or supporting multi-national scheduling operations desired.
  • Experience with Adonis Crew Management or similar crewing/scheduling software desired.
  • Strong analytical skills with the ability to interpret data, identify trends, and produce clear reporting.
