Offshore Crewing Coordinator

Our recent substantial contract awards and strong backlog in the Region pave the way for experienced onshore Senior/Project Surveyors to become part of our dynamic Houston-based team.
Join a cohesive team dedicated to achieving excellence in subsea positioning, measurement, and mapping. With Subsea7's extensive global presence, you'll engage in intricate and demanding offshore energy projects, utilising our fleet of pipelay and construction vessels.
We are seeking a skilled and motivated Offshore Crewing Coordinator to join our team in Houston, TX. This shore-based role offers a hybrid schedule and is responsible for coordinating the mobilization and demobilization of offshore personnel, managing travel logistics, and executing all offshore personnel logistics activities for assigned vessels and worksites. The position works closely with internal teams to support efficient crew movements while upholding Subsea 7's standards for safety, ethics, and integrity.
What will you be doing?
Personnel Mobilization & Logistics
  • Ensure assigned vessels and worksites are staffed with qualified, certified, and medically fit offshore personnel
  • Coordinate travel arrangements through external travel agencies, providing accurate itineraries and ensuring workers have all required documentation (e.g., visas, work permits, medicals, inoculations)
  • Maintain and update mobilization and demobilization schedules to support payroll, cost allocation, and tax requirements
  • Serve as a point of contact for offshore employees, responding to questions and offering general administrative support to the Crewing Team

Operational & Administrative Support
  • Review and verify third-party invoices and expense claims for accuracy
  • Support the maintenance of crew data, compliance records, and travel documentation within crewing systems
  • Assist with new hire inductions, helping new offshore personnel understand travel processes, expectations, and onboarding requirements

Team Collaboration & Flexible Support
  • Participate in the Crewing Team's on-call rotation, supporting urgent operational needs outside regular business hours, including occasional evenings, weekends, and holidays
  • Provide coverage for other Crewing Coordinators during absences to ensure uninterrupted crewing and mobilization support

What experience would we like you to have?
Qualifications & Skills
  • 2-5 years of experience in offshore crewing, personnel logistics, HR coordination/administration, or similar operations support roles
  • Prior experience in offshore oil & gas operations with exposure to domestic/international mobilization processes, including visas, work permits, and travel documentation (preferred)
  • Working knowledge of offshore competencies, training matrices, and certification requirements, including medicals and regulatory compliance
  • Demonstrated ability to manage travel logistics, including booking through third-party travel agencies, organizing itineraries, and ensuring compliance with documentation and scheduling needs
  • Strong planning, scheduling, and organizational capabilities with the ability to manage high-volume crew movements and prioritize effectively in a fast-paced operational environment
  • Solid administrative background, including experience maintaining personnel records, managing data accuracy, and supporting payroll- or tax-related crew tracking
  • Excellent communication and interpersonal skills with the ability to engage effectively with offshore personnel, third-party agencies, and internal stakeholders
  • Proven team player with a flexible, positive, and service-oriented attitude
  • Proficient in Microsoft Office Suite, travel or crewing databases, and other logistics/HR systems
  • Ability to work extended hours, on-call rotations, holidays, and weekends as needed to support vessel operations and emergent mobilization demands
