The Regional Maintenance Director is responsible for planning, organizing, developing, and directing the overall operation of the maintenance department through established company policies and procedures as well as government requirements. This position will ensure that all properties are well-maintained, providing a safe and comfortable atmosphere. The Regional Maintenance Director is also responsible for developing scopes, gathering bids, managing plans, contracting and coordinating activities for any assigned capital projects. This role's success will require maintenance and capex experience, people skills, positive attitude and time management skills.  This position will require travel up to 50%.  


Essential Position Functions :


Procurement & Vendor Relationships :

  • Establish company-wide pricing and services expectations.
  • Collaborate with Senior Director on regional and national vendor contracts (including carpet, vinyl, paint, lighting and  appliance vendors)

Policies & Procedures :

  • Develop initiatives and policies, procedures, and programs with the aim of continuous improvement of maintenance operations and standards.
  • Maintain compliance with changing local, state, and federal code requirements.
  • Stay up to date on industry trends and products, via meetings with vendors, contractors and shopping competitors, in the market that would enhance our operations. Make recommendations for any needed changes.

Property Maintenance, Preventative Maintenance and Property Inspections:

  • Manages the operations of the maintenance department across portfolio in assigned regions.
  • Ensure maintenance staff compliance with company's policies, procedures and standards by visiting property sites regularly,              report any deficiencies to company leadership as appropriate.
  • Provide troubleshooting support to regional managers and maintenance supervisors for challenging maintenance issues.
  • Understand complex mechanical systems and ensure appropriate programs in place to maintain these systems.
  • Manage company's preventative maintenance program and evaluate and update as needed.
  • Review monthly site maintenance reports to ensure compliance with company's policies, procedures, and standards.
  • Collaborate with training department on programs for the maintenance teams (including, but not limited to: identifying annual training courses, establishing new hire orientation, monthly safety and emergency preparedness training, etc.)
  • Ensures safety all health, safety, and regulations and protocols are being followed, including monthly safety meetings. Acts as the safety manager of the portfolio.
  • Bidding and oversight of any capital projects assigned, supervising and directing outside contractors, providing regular updates on project completions.
  • Assist with annual budget preparation and development of 1, 3, 5 and 10 year capital plans for assets.

Property Acquisition:

  • Performs due diligence with the Due Diligence Team on all new acquisitions.
  • Oversees scope and work performed on construction defects on new acquisition properties.
  • Upon acquisition, document comprehensive review of new property's operating systems and maintenance plan and communicate this plan to owner and company leadership.
  • Train on-site management regarding maintenance operating systems
  • Oversee and train site staff process of acceptance of new units from construction on each new development (maintaining unit walk checklists and punch lists, interior and exterior walks, warranty walks and setting up maintenance operations for each new property)

Capital Projects:

  • Oversight of any capital projects assigned.
  • Supervising and directing outside contractors and consultants.
  • Reviews project proposal and plans to determine time frames, funding limitations, procedures for accomplishing project, staffing requirements, and allotment of available resources to various phases of project.
  • Generates bid forms, contracts, work agreements, change orders and other construction documents
  • Provides regular updates on project completions.
  • Manages and tracks project billing and lien releases for each project.
  • Prepare project reports for management, client, or others.
  • Ensures that all projects follow all applicable building codes and that all necessary permits and sign offs are obtained.
  • Manages projects through completion.

  • Delegates tasks and responsibilities to maintenance supervisors in an effective, positive, and efficient manner
  • Understands and follows OSHA guidelines and other regulations.

Knowledge, Skills, and Abilities

  • Knowledge of Milhaus's services and processes is required which can be obtained through intellect, technical inclination, and dedication to gain such knowledge.
  • Knowledge (Intermediate to advanced) of various operating systems, software products (e.g. MS Office, etc.), is required.
  • Ability to objectively coach employees and management through complex, difficult, and emotional issues.
  • Ability to work independently and efficiently manage time / workload.
  • Ability to read, analyze, and interpret financial reports, business, professional, and technical documents.
  • Ability to effectively respond to common inquiries or complaints from customers and staff.
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
  • Ability to write presentations, articles, routine reports, proposals, and correspondence.

  • Ability to work under deadline pressure and extra hours if needed.
