Job description

Job Title: Operations Coordinator
Location: Merrillville, IN (Hybrid - Tuesday through Thursday onsite)
Schedule: 7:00 AM - 3:30 PM
Duration: Contract through 12/31/2026
Rate: $20 - $25/hr (W2) + 401k 4% Match
Work Authorization: Must be authorized to work in the United States now and in the future without the need for employment-based visa sponsorship. Sponsorship is not available for this position.
Position Overview
We are seeking an Operations Coordinator to support the Gas Work Management Organization through administrative coordination, permit processing, and operational support activities. This role is responsible for ensuring timely and accurate execution of work processes while supporting a high-performing, team-oriented environment.
The ideal candidate is detail-oriented, customer-focused, and able to work independently while collaborating across teams in a hybrid work environment.
Required Qualifications
  • High School Diploma or equivalent
  • Strong written and verbal communication skills
  • Proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook)
  • Experience working in a team-oriented environment
  • Strong interpersonal and customer service skills (internal and external)
  • Ability to perform duties with limited direction
  • Strong organizational and multitasking abilities
  • Understands how to leverage technology like AI
  • Ability to make presentations
  • Experience organizing meeting needs
  • Ability to take care of office supplies, maintenance needs, etc.

Preferred Qualifications
  • Experience with WMS, CIS, Microsoft Teams, and Outlook
  • Familiarity with company policies and procedures
  • Basic understanding of the utility industry

Key Responsibilities
Operational & Administrative Support
  • Provide clerical and operational support to the Gas Work Management Organization
  • Ensure timely and accurate preparation and processing of work-related documentation
  • Support administrative efficiencies and process improvements

Permit & Work Coordination
  • Manage application, receipt, distribution, and execution of permits
  • Support the One Call process and site readiness coordination
  • Create, update, and execute WMS/DIS order types

Communication & Customer Support
  • Prepare correspondence and communicate effectively with internal teams and external stakeholders
  • Provide high-quality customer service and support customer complaint resolution processes
  • Utilize Outlook and other communication tools to coordinate daily activities

Team Collaboration
  • Work collaboratively in a highly efficient team environment
  • Participate in cross-functional coordination efforts
  • Support team initiatives and continuous improvement activities
