Job description

The Operations Assistant performs a variety of administrative tasks in support of the operations function.
  • The Operations Assistant coordinates, monitors and assists with improving service activities for an organization or group. Provides support to operations personnel and ensures services are effective and customer requirements and requests are met.
  • Key Responsibilities:
  • Support/communicate with Operations Supervisor daily to ensure production expectations are being met.
  • Help run the system when needed by Operations.
  • Report contamination received to carriers with photo documentation
  • Provide ticket information monthly to carriers
  • Enforce PPE and sign in/out procedure. Greets visitors to plant, contacts appropriate staff when visitors arrive.
  • Facilitate front office duties, ship/receive parcels and mail, maintain voicemail etc.
  • Enter all shipping information into reports as needed
  • Maintain shared folder information for staff
  • Support scale for lunch breaks, sick time, vacation
  • Review night shift tasks are complete, fill in where necessary
  • Communicate with carriers on updates to company policy
  • Ensure weight limits are met for each outgoing shipment
  • Reschedule trucks as needed
  • Advise the next shift of any special instructions carrying over from day shift
  • Provide training to new scale personnel as required.
  • Requirements:
  • High School Diploma or GED.
  • Operate standard office equipment (i.e., copier, facsimile, personal computer).
  • Knowledge, Skills and Abilities:
  • Ability to implement solutions to general and specific needs.
  • Ability to work in a fast-paced environment, meet time deadlines and perform under pressure.
  • Possess good organizational skills and record keeping skills.
  • Possess ability to speak and communicate effectively with customers and employees both verbally and in writing.
  • Proficient in Microsoft Outlook, Microsoft Word and Excel.
  • Good problem solving ability.
  • Excellent data entry skills.
  • Physical/Mental Demands:
  • Ability to stand, sit, walk, use hands and fingers, talk and hear.
  • Visual Requirements: include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
  • Working Conditions:
  • Work in an indoor office environment 95% of the time.
  • Noise level is usually moderate.
