Job Summary

The Conference Aides (CA) are responsible for pantry management and conference center set up; including, but not limited to equipment, storage, and organization based upon business need. The Conference Services Aids work in conjunction with receptionists, coordinators, Lead WPA/CA, and the Conference Center Manager to support the handling of vendors and catering.ย  They will report to the Lead Conference Aide and the Conference Center Manager.
Essential Duties and Responsibilities:

  • Resetting, refreshing, and turning rooms as necessary in conference center.ย  Working with coordinators, managers and team to minimize room turns while being flexible to ensure the best client experience.
  • Wiping down/cleaning all tables and chairs.
  • Supplying and setting up items not included in rooms (flip charts, whiteboards, screens, etc.).
  • Reporting all conference center damage to Maintenance. (Chipped paint, broken doors, etc.)
  • Making sure meeting room trash was removed and carpets were vacuumed the previous night by reporting to maintenance or personally as necessary.
  • Collecting documents remaining after meetings, checking with the Conference Coordinators whether they are to be returned or shredded.
  • Coordinating with team members on any last-minute changes to accommodate if possible.
  • Assisting with special events, both on-site and off-site.

Preferred requirements:

  • Excellent organizational skills, with the ability to prioritize tasks and juggle many tasks simultaneously.
  • Excellent oral and written communication skills.
  • Basic computer skills and knowledge of office technology/equipment.
  • Ability to read and execute Resumes and BEOs sent out by the coordinator team.
  • Ability to work calmly and effectively in stressful situations.
  • Exceptional client service skills to exceed expectations.
