Job Title: Conference Coordinator
Ministry/Department: Kingdom Resources
Reports to: Conference Director
Status: Full-time, non-exempt
Supervisory Role: No
Objective
The Conference Coordinator supports the planning, coordination and execution of churchwide conferences and events by providing strong administrative, logistical and operational support to the Conference Director and ministry teams. This role helps ensure that events are well managed, aligned with the vision and values of The Church of Eleven22® and designed to equip people to discover and deepen a relationship with Jesus Christ.
Key Responsibilities
  • Maintain an authentic and growing walk with Jesus Christ through the ongoing spiritual disciplines of Bible reading, prayer, personal worship, fasting, confession and fellowship
  • Conference Planning and Event Support
    • Provide administrative and logistical support to the Conference Director in the planning and coordination of conferences, vendors and event operations
    • Develop detailed event checklists and timelines for each conference
    • Coordinate conference registration, attendee communication, event materials and onsite resources to support a seamless guest experience
    • Assist with vendor communication, documentation, invoices, deposits and deliverables while ensuring timely follow through
  • Event Operations and Onsite Support
    • Support setup, onsite operations and breakdown for conferences
    • Provide onsite coordination and communication support for vendors, speakers, volunteers and attendees during conferences and events
    • Assist with volunteer scheduling, communication and day of event coordination
  • Post-event Follow-up
    • Assist with post event communication, surveys, reporting and attendee follow-up
    • Partner with the Conference Director to document event feedback, operational insights and process improvement opportunities for future conferences
    • Support the Conference Director with administrative expense tracking, invoice processing, payment documentation and budget related coordination
  • Administrative and Communication Support
    • Maintain organized and accurate conference records, schedules, files and reports
    • Assist in coordinating conference related communication, scheduling and follow-up with ministries, campuses, vendors and external partners
    • Support additional ministry initiatives, projects and events as assigned
  • Other duties as assigned

Education and Experience

  • Hands-on conference or large-event production experience is beneficial
Expected Hours of Work
Work Hours Expectations: 40 hours or more.
Schedule Expectations: Monday through Friday (hours may vary based on church needs to include working weekends).
The church has several big events ("All-Skates") throughout the year to help further the mission of Eleven22. These events are mandatory for all staff to be in attendance and may vary, depending on the vision cast for the current year.

Work Environment/Physical Demands
This position is based in a professional office environment and regularly uses standard office equipment such as computers, phones, photocopiers and filing cabinets. Travel between church campuses and off-site event locations is required to support conferences. While most duties are sedentary, the role regularly involves lifting supplies, moving equipment and standing for extended periods during events. This role is primarily sedentary, but does require regular physical activity, including lifting and carrying supplies, materials and boxes (up to 50 lbs.), opening filing cabinets and frequent bending, standing or moving equipment as needed to support events. Travel between campuses or event locations may also involve transporting materials.
Ministerial Exception
The ministerial exception furthers the purposes of the Free Exercise and Establishment Clauses of the First Amendment by barring legal claims against church bodies by staff members who perform religious functions. All church pastors are subject to the exception, but a formal ministerial credential is not required. While there is no rigid formula to determine other church staff members that qualify, various factors are considered to determine which staff members are subject to the ministerial exception (please see handbook).
