Purpose
The Student Conference Associate serves in this part-time role performing administrative support and conference management duties, along with preparing the Guest Suites.
Responsibilities
Administrative Support
  • Responsible for directing emails for the Events and Conference Services email to the appropriate individual. Provide timely responses as needed.
  • Coordinate and schedule meetings with clients, partners and Conferences Services team.
  • Participate in forums and presentations for Conference Services.
  • Perform other administrative tasks as needed. Conference Management
  • Coordinate building walkthroughs with the conference organizer.
  • Support the Manager of Conference Services with conference group placement based on date of submission, request and needs of the department.
  • Participate in the hiring and training for the Summer Conference Assistants.

Guest Suites
  • Inspect and complete the inventory report for the Guest Townhomes after a conference guest leaves the space.
  • Document and send any damages to the Manager for Conference Services for billing 72 hours after the guests have checked out.
  • Check on the townhome rooms prior to the conference guest arrival and connect with Building Services for any items that need to be fixed.
  • Coordinate the delivery of the mail keys and conference cards for the guests.

Required Qualifications
  • Complete 24 credit hours at a institute of higher learning prior to employment
  • Ability to lift 20 pounds (furniture, boxes etc.)
  • Maintain a cumulative and term grade point average of 2.5 or above and be in good disciplinary standing
  • Must be a regularly enrolled student as defined by the Quantity of Work Rule in the General Information catalogue at the University of Texas at Austin.
  • Hold no other assistantship or employment during the appointment, unless approved. On-campus employment may not exceed five hours per week. Comply with limit on outside activities and the University's Quantity of Work Rule.
  • Must have a Texas driver's license. Staff will operate a University vehicle due to the nature and responsibility of this position.

Compensation
$13.00 per hour
Work Shift
The Student Conference Associate will regularly work up to 20 hours per week, however, they may be asked to adjust their schedule depending on the workload of Conference Services. Work hours will be during the Conference Services office hours (8 a.m. to 6 p.m.). The Student Conference Associate may be asked to work hours outside of business hours and will be informed in advance.
