Job Summary

The Office & Conference Services Manager is responsible for overseeing daily office operations and delivering exceptional conference and event services. This role ensures a high level of organization, efficiency, and client satisfaction while managing administrative workflows, coordinating meetings and events, and leading service teams in a fast-paced, high-profile environment.
Key Responsibilities
Office Operations Management
Oversee daily office operations to ensure efficiency, organization, and professionalism
Manage administrative processes, workflow coordination, and office resources
Serve as a central point of contact for internal teams and external stakeholders
Maintain a well-functioning and professional office environment


Conference & Event Services
Coordinate and manage conference services, including meeting setups, logistics, and execution
Plan and oversee all conference center activities and bookings
Check conference rooms prior to client arrival to ensure readiness and standards are met
Ensure rooms are set according to customer specifications and expectations
Confirm Audio Visual equipment is properly set up and functioning according to client requirements
Partner with internal departments (Conference Services, Catering, Audio Visual) to deliver seamless events
Finalize event and meeting details with clients and communicate plans to all relevant departments


Client Services & Coordination
Answer telephones and manage reservations for clients
Track client and event details in internal databases
Provide business center services when requested
Build strong relationships with clients, vendors, and internal teams
Respond to client requests with professionalism, urgency, and attention to detail
Ensure a positive and seamless experience for all users of office and conference services


Leadership & Service Excellence
Supervise and guide support staff, ensuring high performance and accountability
Maintain exceptional service standards aligned with a high-profile client environment
Proactively identify and implement process improvements to enhance efficiency and service delivery
Stay informed on industry trends and share insights with staff
Foster a proactive, service-oriented team culture


Reporting & Administration
Run end-of-day reports and ensure accurate documentation of activities
Monitor operational performance and identify improvement opportunities


Preferred Qualifications
Bachelor's degree preferred
Minimum of 2 years of planning experience in the hospitality or conference services industry
Proficiency in Microsoft Office Suite
Strong organizational and multitasking skills in a fast-paced environment
Exceptional customer service and interpersonal communication abilities
Proactive mindset with the ability to anticipate business needs and adapt to change
Experience working with event planning systems or reservation databases preferred
