Overview
DecisionPoint Corporation is seeking an experienced International Conference Planner to support the U.S. Special Operations Command (USSOCOM) J3 International Support program.
The International Conference Planner will be responsible for planning, coordinating, and executing high-profile domestic and international conferences, meetings, workshops, and executive engagements supporting the USSOCOM J3 International Division. This position plays a critical role in enabling collaboration between U.S. Special Operations Forces (SOF), allied militaries, partner nations, interagency organizations, and international stakeholders by delivering professionally managed events that advance USSOCOM's global mission.
The successful candidate will combine expertise in conference planning, project management, logistics, budgeting, and stakeholder engagement with the ability to manage complex, high-visibility events from concept through execution. This individual will coordinate with Government leadership, military organizations, vendors, and international partners to ensure every engagement is executed seamlessly, on schedule, and within budget.
This position is onsite at USSOCOM Headquarters, MacDill Air Force Base, Florida.
Duties & Responsibilities
The International Conference Planner will:
  • Plan, coordinate, and execute domestic and international conferences, executive meetings, workshops, seminars, and multinational engagements supporting the USSOCOM J3 International Division.
  • Develop comprehensive event plans, project schedules, budgets, risk management plans, and execution timelines.
  • Coordinate all conference logistics, including venue selection, facility management, transportation, lodging, audiovisual support, catering, registration, security coordination, and protocol requirements.
  • Collaborate with Government leadership, military organizations, coalition partners, vendors, and external stakeholders to ensure successful event execution.
  • Manage conference budgets, monitor expenditures, and ensure responsible stewardship of Government resources.
  • Identify potential event risks and develop mitigation strategies to ensure uninterrupted execution of planned activities.
  • Coordinate executive-level meetings, distinguished visitor engagements, and multinational planning events involving senior military leaders and government officials.
  • Develop event documentation, schedules, briefing materials, attendee packages, after-action reports, and lessons learned documentation.
  • Track project milestones, action items, and deliverables while ensuring all deadlines are achieved.
  • Lead planning teams and coordinate cross-functional resources supporting conference execution.
  • Ensure compliance with Department of Defense policies, security requirements, and Government conference planning guidance.
  • Continuously identify opportunities to improve conference planning processes, operational efficiencies, and participant experience.
Qualifications
Clearance Requirement
  • Active Top Secret Clearance with SCI eligibility required.

Education
  • Bachelor's degree in Business Administration, Management, Event Management, Hospitality Management, or a related field.

Experience (Required)
  • Minimum of seven (7) years of professional experience in conference planning, event management, project management, operations leadership, or related disciplines.
  • Experience planning and executing conferences, executive meetings, workshops, or large-scale events supporting Government agencies, military organizations, or similarly complex organizations.
  • Experience working directly with Federal Government agencies, Department of Defense organizations, or military commands.
  • Proven experience managing multiple complex projects simultaneously while meeting deadlines and maintaining exceptional quality.
  • Experience developing and managing project schedules, budgets, logistics plans, and operational timelines.
  • Experience coordinating with senior executives, military leaders, vendors, and diverse stakeholder groups.
  • Experience supporting event logistics, procurement coordination, travel planning, and operational execution.
  • Experience identifying operational risks and implementing effective mitigation strategies.

Preferred Qualifications
  • Familiarity with U.S. Special Operations Forces (SOF), Geographic Combatant Commands (GCCs), Theater Special Operations Commands (TSOCs), or similar military organizations.
  • Experience supporting multinational conferences, coalition engagements, or international military events.
