Job Summary

We are looking for a detail-oriented and highly organized Conference and Event Planner to manage the planning and execution of conferences, meetings, and special events at our brand new conference center. This role is responsible for ensuring seamless event delivery, exceptional client service, and operational excellence from initial planning through post-event wrap-up.


Key Responsibilities:

  • Event Planning & Coordination
    • Serve as the primary point of contact for clients throughout the event lifecycle.
    • Develop detailed event plans including timelines, room layouts, AV needs, catering, and staffing.
    • Coordinate with internal departments and external vendors to ensure all event elements are executed flawlessly.
  • Client Service & Communication
    • Conduct pre-event meetings and site visits with clients to finalize logistics.
    • Provide on-site support during events to ensure client satisfaction and resolve any issues.
    • Maintain clear and timely communication with clients, vendors, and team members.
  • Operational Oversight
    • Monitor event setup and breakdown to ensure adherence to client specifications and safety standards.
    • Manage event budgets and track expenses to ensure profitability.
    • Prepare post-event reports and client feedback summaries for continuous improvement.
  • Sales & Marketing Support
    • Collaborate with the sales team to provide input on proposals and event feasibility.
    • Assist in developing promotional materials and showcasing the venue during site tours.

Qualifications:

  • 2-4 years of experience in event planning, preferably in a conference center or hospitality setting.
  • Strong organizational and multitasking skills with attention to detail.
  • Excellent interpersonal and problem-solving abilities.
  • Proficiency in event management software and Microsoft Office Suite.
  • Ability to work flexible hours, including evenings and weekends.

Preferred Qualifications:

  • Experience with Cvent, Social Tables, or similar event planning platforms.
  • Familiarity with AV equipment and catering logistics.
  • Knowledge of local vendors and event service providers.
