Job description

Job Description
The Director of Conference Services will lead and manage the conference services team at the account and will be responsible for the operations management of conference needs.
Job Responsibilities
  • Receives upcoming meetings from event management system and collaborates with event teams to ensure event is executed flawlessly.
  • Assists with any special need/requests for events.
  • Responsible for management of Event Order for the conference including all necessary information.
  • Attends weekly delivery meeting to review any changes in upcoming programs or special events. Relays all conference details to necessary departments: AV, Facilities, Catering.
  • Distributes and discusses group Event Order in weekly information meeting.
  • Remains available and approachable throughout all planning phases to handle all questions and/or changes for the event.
  • Inspect status of meeting or classroom set-ups. Make a note of any changes that are inconsistent with Event Orders and take immediate corrective action.
  • During room inspection, notify the appropriate departments for items, which may be missing from set-up instructions. Example: tables, skirting, water, A/V etc. Ensure that all items are followed up on.
  • Monitor Event Orders on a daily basis to ensure information is up to date and accurate.
  • Ensures that all safety procedures are understood and followed to maintain a safe working environment.

Qualifications
  • Bachelor's Degree in Hospitality or related field preferred.
  • The ideal Candidate will have 3-5 years conference planning or related experience.
  • Must have strong time management skills, customer service, and attention to detail and be able to perform various tasks simultaneously.
  • Must possess strong communication and interpersonal skills.
  • Must work well independently and as a team member.
  • Experience with computer applications including but not limited to: Microsoft Office, Momentous, Delphi, Opera or other event management systems.
  • Knowledge of CVENT, WebEx, MS Teams, and various virtual meetings is strongly preferred.
  • The ability to manage in a diverse environment with focus on client and customer services is essential.
