Job description

The Concierge Specialist exists to ensure an exceptional first impression and ongoing experience to callers, visitors and residents while complimenting the efforts of the care staff and supporting TFF administrative functions.

Duties and Responsibilities:

  • Promote the mission, services and image of TFF on a continuing basis to all personnel, residents, guests/visitors, volunteers, vendors, and all communities via appropriate words and actions.
  • Support the vision of the President/CEO by working coopertively and cohesively on service and operational matters with the ED/TFF management teams, and fellow employees.
  • Concierge functions for TFF include meeting and exceeding guests’ and residents’ expectations upon entering the community. Ensure each guest is pleasantly greeting and shown through the property to their destination. Assist with entrance/exit of community/vehicles under covered entrance.
  • Notify and coordinate TFF of visitors and appointments. Be aware of community schedules, transport schedule, and major TFF calendar events as to properly navigate callers/visitors immediately.
  • Answer telephone calls with a smile and ensure callers’ expectations are exceeded during their calling experience. Ensure prospect calls/families are handled in a call-to-action manner that quickly and effectively ensures the caller reaches the proper destination. Ensure “auto-attendant” is properly turned on and forwarded during nights/weekends.
  • Maintain and improve building appearance and atmosphere through appealing aspects such as fresh flowers, music, scent and other aesthetically pleasing avenues. Ensure all front of house is clean not limited to, main hall restrooms are stocked and maintained by housekeeping.
  • Receive and distribute mail daily. This includes all TFF outgoing mail is sent out daily as well as incoming mail is properly distributed daily.
  • Promote effective and positive employee relations by greeting applicants, distributing applications and communicating with TFF regarding interviews and status of initial applicant process. Communicate effectively with all employees to ensure a positive and clear understanding of TFF’s mission and core values.   
  • Assist salon scheduling and tracking of resident appointments.  
  • Assist with planning, development, and execution of various internal and external special events, including resident cook outs, Alzheimer Walks, quarterly meetings, and staff appreciation events.
  • Coordinate with front office when away from desk, ensuring phone is always answered immediately.
  • Assist in creating a positive working culture for all staff at all locations/departments that promotes personal development, an energetic/fun attitude, effective communication, and brand loyalty that is conducive with TFF guidelines, service standards and brand/image.

Preferred Education and Qualifications:
  An excellent learner with the ability to work in teams.

  Excellent organizational skills, with an ability to prioritize important projects.
