The Roleย 

The Flight Operations Coordinator is responsible for the day-of execution and operational oversight of scheduled charter flights. This role serves as the primary coordination point between Fleet Scheduling, Crew Scheduling, Flight Crews, Maintenance Control, and Client Services to ensure every trip operates safely, efficiently, and in accordance with company standards.


The Coordinator monitors assigned trips and aircraft, manages operational details, facilitates communication across departments, and proactively resolves issues that may impact trip execution โ€” maintaining operational continuity, supporting recovery efforts, and ensuring a seamless experience for both flight crews and clients.


Areas of Responsibility

Flight Operations & Trip Execution
โ€ข Monitor assigned aircraft and trips for Day-Of and Next-Day operations.
โ€ข Ensure all trip details are accurate, complete, and operationally feasible.
โ€ข Maintain awareness of aircraft routing, schedule changes, delays, and operational impacts.
โ€ข Monitor ongoing flight activity and provide support throughout the mission lifecycle.
โ€ข Identify operational risks and escalate concerns as appropriate.
โ€ข Support irregular operations and recovery planning efforts.


Operational Coordination
โ€ข Serve as the primary operational liaison between Fleet Scheduling, Crew Scheduling, Maintenance Control, Flight Crews, and Client Services.
โ€ข Coordinate operational changes resulting from weather, maintenance events, crew limitations, airport restrictions, or client requests.
โ€ข Ensure all stakeholders have the information necessary to successfully execute assigned trips.
โ€ข Maintain continuity and communication throughout all phases of trip execution.


Mission Execution Support
โ€ข Review and validate trip details including:
โ€“ Airport operating considerations
โ€“ NOTAMs
โ€“ International requirements
โ€“ Ground transportation arrangements
โ€“ Crew accommodations
โ€“ Passenger information
โ€“ Luggage and payload considerations
โ€ข Assist in identifying and resolving operational conflicts prior to departure.


Documentation & Compliance
โ€ข Maintain accurate trip records and operational notes within company systems.
โ€ข Ensure operational documentation is complete and current.
โ€ข Support compliance with FAA Part 135 regulations, company procedures, and safety standards.
โ€ข Assist with operational reporting and tracking as required.


Communication & Client Support
โ€ข Provide timely and accurate operational updates to internal stakeholders.
โ€ข Support Client Services and Charter Sales teams with trip-related operational information.
โ€ข Communicate professionally and effectively during both routine and irregular operations.
โ€ข Assist with post-flight follow-up and operational issue resolution.

Qualificationsย ย 

    โ€ข Minimum of 2 years of experience in aviation operations, dispatch, scheduling, charterย coordination, or a related field.
    โ€ข Working knowledge of FAA Part 135 operations preferred.
    โ€ข Strong organizational, prioritization, and multitasking skills.

    โ€ข Ability to effectively manage multiple time-sensitive priorities in a fast-paced operational environment.
    โ€ข Excellent written and verbal communication skills.

    โ€ข Experience with flight scheduling, dispatch, or operational software preferred.ย
