BILLING MANAGER - NEW JERSEY OFFICE:

Prominent AmLaw 200 law firm with multiple regional office locations seeks an experienced and detail-oriented Billing Manager to oversee the firm’s end-to-end legal billing operations. The Billing Manager is responsible for overseeing all aspects of the firm’s legal billing function, ensuring the timely, accurate, and compliant preparation of client invoices while delivering exceptional service to attorneys, clients, and internal stakeholders. This leadership role manages billing operations across multiple practice groups and offices, drives process improvements, maintains adherence to client billing guidelines, and supports the firm’s revenue cycle management objectives.

The ideal candidate will possess significant law firm billing experience, strong leadership capabilities, a deep understanding of legal e-billing systems and client requirements, and the ability to partner effectively with attorneys and finance leadership in a fast-paced AmLaw environment.

Key Responsibilities

Billing Operations Management

Oversee the preparation, review, and distribution of client invoices for various practice groups.

Ensure adherence to outside counsel guidelines, client-specific billing requirements, and matter budgets.

Manage billing cycles (monthly, quarterly, and ad hoc), ensuring timely completion.

Handle complex billing arrangements (e.g., alternative fee arrangements, contingency, blended rates, fee caps).

Monitor WIP (Work in Progress) and AR (Accounts Receivable) aging in collaboration with Finance.

Team Leadership & Development

Lead, mentor, and develop a team of billing coordinators and/or specialists.

Provide coaching on billing accuracy, system usage, and client compliance requirements.

Lead staffing and supervise workload allocation.

Attorney & Client Support

Act as primary billing liaison to partners and legal assistants.

Support client audits and respond to billing-related requests from clients.

Systems & Process Improvement

Manage and optimize billing system (Elite 3E).

Ensure successful electronic billing submissions via e-billing platforms (e.g., Legal Tracker, Serengeti, CounselLink).

Identify opportunities for process automation, efficiency improvements, and standardization.

Partner with IT and finance teams on system upgrades and implementations.

Compliance & Controls

Ensure billing practices comply with firm policies and internal controls.

Maintain audit-ready documentation and participate in internal/external audits.

Monitor compliance with client billing guidelines to reduce rejections and write-offs.

Reporting & Analytics

Produce billing-related reports including WIP, billed/unbilled revenue, realization rates, and billing trends.

Analyze billing data to identify inefficiencies or revenue leakage.

Provide insights and recommendations to senior leadership and practice group leaders.

Technical Skills

Proficiency in legal billing systems (Elite 3E, Aderant, or similar).

Experience with e-billing platforms (EBH, Legal Tracker, CounselLink, Serengeti, Tymetrix).

Advanced Excel skills (pivot tables, VLOOKUP/XLOOKUP, data analysis).

Familiarity with financial reporting and revenue cycle management.

Experience

10+ years of legal billing experience within a law firm environment, preferably in an AmLaw 200 or large firm setting.

3+ years of supervisory or management experience.
