BEVERAGE PROGRAM ASSISTANT MANAGER

TheASSISTANT BEVERAGE PROGRAM MANAGER supports the management of the Chowgirls Cordial line, helping to maintain and elevate our beverage offerings while ensuring an exceptional guest experience across all events. This role works closely with the Beverage Program Manager and collaborates with the Operations & Hospitality teams to uphold quality standards, coordinate event logistics, support bar staff training, and ensure smooth service execution. This position reports to the BEVERAGE PROGRAM MANAGER (BPM).


ADMINISTRATIVE

  • Foster impeccable communication with all department heads kitchen, sales, equipment, and managers to ensure best possible outcomes for all events at all times
  • Assist with all aspects of bar operations, including staff training, inventory control, and logistics
  • Attend and actively participate in weekly packet meeting capturing all bar related details
  • Pre-Packet i.e. review the the weeks upcoming events with BPM and Beverage Program Coordinator (BPC) to troubleshoot any possible logistical issues and compile questions for the Event Specialists
    • Create the Packet Notes event summary to create the weekly Bar Pull Sheets and for BPC usage
  • Follow through and respond to all add-on and updated events, distributing bar information as needed
  • Review and approve staffs clocked in hours in Nowsta for errors and discrepancies, submitting employee hours to payroll bi-weekly and submitting sick/safe as needed
  • Schedule Beverage Program Coordinator, additional support staff as needed, and manage personal schedule in BPM absence
  • Support the tracking of all event inventory usage through managing the accuracy of the Bar Pull Return Sheets
  • Support data input as needed and delegated by the BPM
  • Maintain working and general knowledge of Chowgirls bar rules, procedures, and policies
  • Be knowledgeable and ensure compliance with MN liquor laws during all bar operations
  • Proficiency and full utilization of CG core software such as Google Workspace, Nowsta, Bamboo, Total Party Planner, Ramp, and other systems as required
  • Accurately code and submit receipts and invoices within 24 hours of purchase

MENU CURATION & CREATIVE

  • Assist the BPM in design and implementation of standing cocktail menus, seasonal offerings, and specialty items
  • Assist BPM in menu development for special Off-Premise Catering (OPC) events, Guthrie Concessions (GCON), and By-the-Box (BTB)
  • Create special request cocktails for Sales Team as assigned by BPM

INVENTORY & PRODUCTION SUPPORT

  • Facilitate the ordering, receiving, and accuracy of all beverage and accoutrement orders
    • In partnership with the BPM, maintain all relationships with all alcohol vendors, negotiating to provide best pricing
    • Inform Bar Ops Team (DOO & BPM) about changes in liquor product and/or pricing
    • Communicate timing and/or delegate the receiving, cross checking, and storing all Cordial related deliveries
  • Ensure completion of all batching and N/A beverage pulls for all events as assigned to BPC
  • Ensure BPC/other Cordial production staff produce and maintain par amounts for all standard syrups, tinctures, garnish pulls, and any other ingredients for cocktails/beverages
  • Oversee liquor room and other Cordial areas stock, order, and security
  • Conduct HQ liquor and NA inventories with Cordial Leadership Team
  • Conduct GCON liquor and NA inventory as needed with GCON leadership
  • Ensure perishable products are maintained and stored in accordance with Serf-Safe and internal standards
  • Manage By-The-Box Beverage order execution
  • Keep inventory of clean, stocked bar tools in working order, notifying Beverage Program Manager of replacement needs as they arise

STAFF MANAGEMENT & TRAINING

  • Ensure all bar setups adhere to standardized procedures and reflect Chowgirls quality and presentation standards
  • Monitor bar leads and staff to ensure compliance with state and city liquor laws as well as Chowgirls Cordial policies and procedures
  • Collaborate with the BPM and BPM to train bar staff on proper storage, organization, and return of bar inventory
    Assist in planning and leading of regular bar training sessions to uphold consistency, product quality, and service excellence
  • Assist with execution of liquor liability training through internal and external programs, facilitating MLBA seminars twice yearly and reinforcing internal policies through written materials, in-person instruction, and on-the-job coaching

EVENTS

  • Be a resource to on-site staff during events by facilitating real-time event needs in tandem with the Hospitality Department
  • Keeping event type and timing, season, etc in mind, create all Bar Pull Sheets for OPC events
  • In the absence of the Beverage Program Coordinator, coordinate the expediting of all bar events to the designated bar leads, going over all inventory and pertinent event logistics
  • Ensure event stock is inventoried at HQ immediately before and after each event (within the same day/night as event)
  • Become a subject matter expert in the Square POS system, and oversee the appropriate programing and usage of Chowgirls POS systems
  • Log all alcohol utilized for anything other than event needs waste, R&D, etc
  • Support CG standards for bar service in an off-site catering environment providing the best experience for both our clients and Chowgirls staff
  • Review Bar Event Worksheets to ensure quantities and stock are appropriate for events
  • Visit events as directed to evaluate bartending staff, procedures, and equipment/design execution

COMMUNICATION

  • Proactively communicate work and personal schedule through Slack
  • Attend and actively participate in all required company meetings
  • Respond to internal and external communications within 12 hours
  • Present a professional positive attitude among coworkers, vendors, and clients
  • Facilitate information flows throughout workplace
  • Maintain availability for communication by phone, Slack, and email
