Overview
Position: Account Manager (AM) Department: Account Services
Required Qualifications:
  • Education: Bachelor's degree in communications, marketing, business, or a related field is required.
  • Travel: Ability to travel as business needs dictate.
  • Strong understanding of scientific information and the ability to communicate it effectively.
  • Excellent organizational, time management, and multitasking skills.
  • Strong communication skills, both written and verbal.
  • Associate Account Manager (AAM):
    • Minimum of 4 years of experience in medical communications, including client-facing experience.
    • Ability to independently and efficiently perform all tasks and responsibilities of the Senior Project Manager (SPM) role.
    • Ability to handle client interactions professionally and effectively, including handling client expectations, addressing concerns, and providing strategic guidance.
  • Account Manager (AM):
    • Shown ability to independently and efficiently perform all tasks and responsibilities of the AAM role.
    • Minimum of 1 year of experience as an Associate Account Manager (AAM) or equivalent role.
    • Strong problem-solving skills and the ability to adapt to changing project requirements.
  • Senior Account Manager (SAM):
    • Consistent track record of independently completing AM responsibilities and experience with all service areas offered by PVG.
    • Minimum of 2 years of experience as an Account Manager (AM) or equivalent role.

Titles and Responsibilities:
Associate Account Manager (AAM):
  • The AAM is focused on developing skills and gaining experience in account management.
  • Responsibilities:
    • Understand and demonstrate competency in each responsibility outlined below.
    • Lead the team with content development, meeting materials, and HCP communications.
    • Gain experience with most service areas offered by PVG.
Account Manager (AM):
  • The Account Manager supports a facet of client communications under supervision of an Account Director or higher. They are responsible for overseeing the execution of projects and ensuring client satisfaction.
  • Responsibilities:
    • Clearly communicate and document the scope of projects to ensure alignment with client expectations.
    • Review and evaluate agency deliverables to ensure they meet client objectives and quality standards.

    • Lead all aspects of client communications, including providing timely updates on project status, deadlines, and next steps.
    • Facilitate regular updates and drive the submission process for Medical, Legal, and Regulatory (MLR) reviews.
    • Develop a comprehensive understanding of the services offered by PVG and apply this knowledge to handle projects effectively.

Senior Account Manager (SAM):
  • The SAM has a consistent track record of independent execution of AM responsibilities with additional duties.
  • Responsibilities:
    • Onboard, train, and coach others in the PC, PM, or AM roles.
    • Find opportunities for organic growth and support business development.
    • Supervise direct reports.
    • Experience with all applicable service areas offered by PVG.

Core Areas of Responsibilities:
Client Focus & Service:
  • Act as a point of contact for client and brand teams.
  • Clearly understand and qualify client needs and requests to ensure project goals and objectives are met.
  • Provide clear and timely communication of client direction to the team, outlining required next steps and deliverables.
  • Support the development of educational and promotional programs aligned with brand and product strategic objectives.
  • Proactively propose concepts and ideas to support client business objectives.
  • Ensure compliance with client regulatory requirements.
  • Collaborate closely with Clinical Services on content development and key messaging.
  • Approve all content and materials before delivery to the Account Director or Assistant Vice President.
  • Execute projects and services according to contractual agreements, providing frequent status updates.
  • Handle client requests efficiently and professionally.
  • Maintain regular communication with clients through correspondence and meetings.
  • Perform other related duties as assigned to support the department and organization's overall objectives.

Organic Growth/Business Development:
  • Identify and qualify potential leads and opportunities with key client decision-makers.
  • Participate in pitch development brainstorming sessions and conferences.
  • Proactively suggest programming recommendations to support brand goals and objectives.
  • Assist in proposal and budget development for existing clients and new business pitches.
  • Collaborate with senior account staff to identify new business opportunities.

Partnership/Collaboration:
  • Uphold the highest level of integrity and accountability.
  • Involve team members in problem-solving and issue triage to ensure commitment and accountability.
  • Provide clear direction to project management and clinical team members.
  • Recap client meetings and conversations to keep everyone updated.
  • Serve as a liaison between the Account Director and Project Manager/Project Coordinator.
  • Encourage and support team members to take on additional responsibilities.
  • Identify gaps in team resources and recommend solutions to meet program deliverables.

Business Knowledge/Operational Practices:
  • Develop and adhere to project timelines.
  • Ensure all team members understand project goals and objectives.
  • Conduct productive project kick-off and status meetings with clear recaps of next steps and due dates.
  • Complete debarment and state reporting processes.
  • Follow agency standard operating procedures.
  • Ensure all team members are fully versed in client compliance and regulatory requirements.
  • Perform other related duties as assigned to support the department and organization's overall objectives.

Financial Accountability:
  • Ensure project budgets align with the scope of services throughout the project lifecycle.
  • Document scope changes or added services and obtain client approval before proceeding.
  • Manage project budgets and advise clients and teams of potential scope changes.
  • Process and submit invoices timely and according to billing milestones.
  • Understand client payment provisions and communicate with the finance team.
  • Review and approve invoices before sending them to clients.
  • Manage the reconciliation process and ensure timely completion.
  • Participate in monthly finance meetings and client finance meetings as needed.

Team Leadership (Applicable to SAM Position):
  • Lead and motivate team members to complete tasks with the highest quality.
  • Provide mentorship and coaching to direct reports and create professional development plans.
  • Define and document performance goals for the upcoming year.
  • Engage direct reports throughout the development process with regular coaching activities.
  • Write and deliver annual performance evaluations.
  • Conduct regular touchpoints to evaluate performance and support development, fostering open and transparent dialogue.
  • Manage and mentor direct reports in day-to-day work and professional growth.
  • Create Journal entries for all conversations pertaining to employee performance.
