Position Overview
SubCom is seeking a Visa Specialist that will guide Shipboard Personnel through the crewing and visa application process, ensuring all necessary documentation is complete and compliant with the latest regulations, and preparing permit applications to support Marine Coordination with the regulatory process for cross-border projects. The role is crucial in helping customers achieve successful crewing, visa, and permitting outcomes in a timely manner.
Responsibilities
  • Assist Shipboard Personnel or Industrial Personnel (IP) with scheduling and logistics ensuring compliance with maritime laws (STCW) and company policies.
  • Assist IP Department Heads with managing IP rotations, documentation, and logistical planning in Adonis (Crewing Management Software) for crew changes to ensure vessels are fully staffed.
  • Act as a liaison between IPs, vessels, and management to maintain operational efficiency.
  • Maintain up-to-date records of IP deployment, certifications, and, in some cases, performance evaluations in Adonis.
  • Assist internal and external customers with visa application procedures, requirements, and process.
  • Review and verify the accuracy and completion of all relevant visa and immigration documents and forms provided by the customer.
  • Provide up-to-date information on visa regulations and immigration laws to applicable customers.
  • Consult with vessel agents, third party visa agencies, immigration authorities, and embassies/consulates to facilitate visa processing.
  • Manage customer inquiries and provide timely and accurate responses.
  • Maintain detailed records of customer interactions and transactions.
  • Work within strict timelines and communicate with applicable parties and the customer consistently via email, MS TEAMS, texting, or telephone. Must be able to work to tight deadlines even when under pressure, whilst still being able to provide a high level of customer service.
  • Preparing, submitting, managing, and tracking permit crew lists and supporting documentation (passports, seaman books, photos, CV/Resumes, etc.) in preparation of vessel permitting applications by Marine Coordination.
  • Acting as the main point of contact between project teams (Engineering, Cable Engineering, Splicing, Testing, Submersibles, and Clients) and Marine Coordination.
  • Must be motivated, energetic, and able to work as a part of a team.

Qualifications
  • Prior experience in marine, maritime, or specialized staffing is highly preferred.
  • Understanding of maritime industry laws, union contracts, and safety regulations.
  • Bachelor's degree in a relevant field (e.g., International Relations, Studies, Law, or Business).
  • Experience in visa consultancy or immigration services.
  • Understanding of visa regulations and immigration laws.
  • Must be fluent in English and have excellent communication and people skills.
  • Strong attention to detail and organizational skills.
  • Ability to manage sensitive and confidential information.
  • Proven problem-solving and customer management skills.
  • Must be proficient in Microsoft Office and any other software related to Visa and Immigration Consultancy.
  • Ability to manage multiple customers and deadlines simultaneously.
