Job description

Position Summary
The Total Rewards Analyst supports the administration, analysis, coordination, and continuous improvement of the organization’s Total Rewards programs, with a primary focus on benefits operations, HRIS data integrity, reporting, vendor coordination, compliance support, and employee communications. This role ensures accurate execution of benefits processes, data management, billing reconciliation, and reporting, while supporting broader Total Rewards initiatives such as open enrollment, audits, employee engagement, and program scalability. The Total Rewards Analyst also provides limited support to compensation-related processes through data validation and tracking of approved compensation actions, in partnership with the Compensation Analyst and HR leadership.


Essential Duties and Responsibilities
• Support the day-to-day administration of employee benefit programs, including medical, dental, vision, life, disability, retirement, and voluntary benefits
• Process and monitor employee enrollments, life events, and terminations to ensure accuracy and timeliness
• Maintain data integrity across HRIS, payroll, benefits systems, and vendor platforms
• Research and resolve employee benefit inquiries, escalating complex or sensitive issues as appropriate
• Partner with HR, Payroll, and vendors to ensure accurate eligibility, deductions, and employee records
• Serve as a primary contact for benefits carriers, brokers, and third-party administrators (TPAs) for day-to-day operational matters
• Monitor vendor reports, file feeds, and eligibility data to identify discrepancies and ensure accuracy
• Track and follow up on vendor issues, ensuring timely resolution
• Coordinate with vendors supporting leave administration, COBRA, and benefits billing
• Perform monthly benefits billing reconciliation to validate invoice accuracy against enrollment and eligibility data
• Research and resolve billing discrepancies in partnership with vendors, Payroll, and Finance
• Track employer and employee contributions and support benefits-related financial reporting
• Assist with data preparation for budgeting, forecasting, and renewal processes
• Support development and distribution of benefits and Total Rewards communication materials
• Assist with planning and execution of open enrollment
• Promote employee understanding and effective utilization of benefits programs
• Support wellbeing and Total Rewards initiatives
• Support benefits renewal and open enrollment processes, including data preparation, system testing, and post-enrollment audits
• Support year-end activities including ACA reporting, audits, and vendor data requests
• Maintain trackers, timelines, and documentation for recurring Total Rewards processes

Compliance and Documentation Support
• Support compliance activities related to ERISA, ACA, COBRA, FMLA, HIPAA, and other applicable regulations
• Maintain accurate, organized, and audit-ready benefits documentation
• Assist with required notices, reporting, and recordkeeping
• Monitor vendor-administered processes and escalate potential compliance concerns
• Support oversight of leave programs administered by third-party administrators, including FMLA, ADA, and state-specific leaves
• Track leave activity, review vendor updates, and ensure documentation is complete
• Partner with HR team members on leave-related inquiries and escalate complex cases
• Maintain accurate leave records and reporting

HRIS, Data Integrity, and Reporting Support
• Maintain accurate Total Rewards data across HRIS, payroll, benefits, and vendor systems
• Audit employee data including benefit eligibility, deductions, job data, and demographic information
• Identify and resolve discrepancies across systems in partnership with HRIS, Payroll, and Finance
• Support HRIS testing, system updates, and data validation activities
• Prepare recurring and ad hoc reports related to benefits, leave activity, open enrollment, and Total Rewards programs
• Assist with dashboards and reporting tools to support HR leadership decision-making
• Prepare reports and summaries related to benefits utilization, enrollment trends, costs, participation, and leave activity
• Analyze data to identify trends, discrepancies, and opportunities for improvement
• Support reporting needs for HR, Finance, and leadership
• Assist with audit preparation by gathering and validating Total Rewards data

Compensation Process Support (Limited Scope)
• Support compensation-related processes through data validation and tracking of approved compensation changes
• Partner with the Compensation Analyst, HRIS, and Payroll to ensure accurate system updates for approved pay changes
• Maintain documentation of approved compensation actions
• Assist with compensation cycle support through data validation and tracking

Process and Continuous Improvement
• Maintain and update standard operating procedures and process documentation
• Identify opportunities to improve processes, reduce errors, and enhance efficiency
• Support Total Rewards projects and system/process enhancements
• Perform other duties as assigned

Qualifications
Education and Experience
• Bachelor’s degree in Human Resources, Business Administration, Finance, or related field required
• Minimum of 4–7 years of experience in benefits administration, HR operations, HRIS, payroll, or Total Rewards support
• Experience with benefits administration, billing reconciliation, reporting, or HRIS data management required
• Experience working with HRIS, payroll, and benefits systems (e.g., UKG, Workday) required

Preferred Qualifications
• Experience supporting open enrollment, benefits audits, ACA reporting, or leave administration
• Exposure to compensation processes, HR data validation, or job data maintenance
• Experience supporting multi-state or high-growth organizations
• Professional certification such as CEBS, PHR, or SHRM-CP
• Intermediate to advanced Excel skills (pivot tables, lookups, data analysis)

• Strong understanding of benefits administration and related compliance requirements
• Working knowledge of Total Rewards concepts, including benefits, reporting, and compensation support processes
• Strong analytical and problem-solving skills
• High attention to detail and accuracy, especially with data and financial information

• Strong communication and interpersonal skills
• Ability to maintain confidentiality of sensitive employee information
• Ability to work independently while collaborating cross-functionally
