ABOUT THE ROLE

The Total Rewards Coordinator plays a central role in delivering and administering the full spectrum of the organization's total rewards programs. This position partners closely with a range of stakeholders to support benefits strategy, ensure compliance with applicable regulations, and provide exceptional service to employees on all matters related to benefits, leave, equity compensation, and payroll. The ideal candidate brings a blend of operational precision, cross-functional collaboration, and a continuous-improvement mindset.

Payroll Backup & Support

  • Capable of running full payroll independently when required, ensuring accurate and timely employee pay in accordance with company policies and applicable regulations.
  • Serve as a knowledgeable payroll backup during peak periods, vacations, or high-volume cycles.
  • Support payroll accounting reconciliation as related to benefits deductions and equity transactions.

Stock Plan & Equity Administration

  • Administer all equity program activities including RSU grants, RSU releases, PSU tracking and updates, and processing of termination-related equity events.
  • Manage and maintain the employee equity database and award agreement records; ensure accuracy and completeness of all participant data.
  • Serve as a primary contact for employees with questions related to equity compensation; resolve issues in collaboration with the equity platform vendor (Fidelity) and internal stakeholders.
  • Support stock plan financial reporting and reconciliation activities in coordination with Accounting and Finance.
  • Assist with participant education and training initiatives; support development and delivery of equity communication plans.
  • Identify opportunities for process improvements and best practice implementation; assist in ad hoc stock plan projects and initiatives.
  • Follow, enhance, and/or create policies and procedures related to equity plan administration.

Benefits Administration

  • Administer employee benefits programs including health, dental, vision, life, disability, and voluntary benefits.
  • Support enrollment processes for new hires, qualifying life events, and open enrollment; serve as the primary point of contact for employee benefit inquiries.
  • Coordinate with benefits vendors and brokers on operational needs, eligibility audits, and issue resolution.
  • Maintain accurate and current benefit records in Rippling, intranet and carrier portals.

COBRA & Leave Administration

  • Administer COBRA notifications and coordinate with the COBRA administrator to ensure timely and compliant processing.
  • Manage employee leaves of absence including FMLA, state-mandated leaves, and ADA accommodation requests in partnership with HR Business Partners and legal counsel.
  • Track leave timelines, return-to-work dates, and medical certifications; communicate with employees and managers throughout the leave lifecycle.

Benefits Compliance

  • Support compliance activities including ACA reporting (Forms 1094-C / 1095-C), nondiscrimination testing, and ERISA/DOL required filings.
  • Monitor regulatory changes and assist the Director, Total Rewards in assessing impact to plan design and administrative processes.
  • Maintain benefits compliance calendar and ensure all required notices and filings are completed accurately and on time.

Annual Compensation Cycle Support

  • Assist with the annual compensation review cycle including merit increase, bonus, and equity refresh processing.
  • Support data preparation, system loading, and audit activities during the compensation planning cycle.
  • Provide analytical support and reporting to the Director, Total Rewards on compensation program effectiveness.

Strategic Support

  • Support the Director, Total Rewards in benefits strategy development and plan design initiatives.
  • Contribute research, benchmarking data, and competitive analysis to inform program decisions.
  • Manage or support project activities and cross-functional initiatives as assigned.

ABOUT YOU

Education & Experience

  • Bachelor's degree in Human Resources, Business Administration, Finance, or a related field; equivalent relevant industry experience will be considered.
  • 2-5 years of experience in compensation, payroll, benefits administration, or HR operations

Required Skills & Competencies

  • Proficiency with Microsoft Office Suite, particularly Excel (pivot tables, VLOOKUP/XLOOKUP, data validation).
  • Strong attention to detail and organizational skills with the ability to manage multiple competing priorities and deadlines.
  • Understanding of benefits regulations including ERISA, ACA, FMLA, COBRA, and ADA.
  • Clear and professional written and verbal communication skills; comfortable responding to employee inquiries with empathy and accuracy.
  • Inquisitive mindset with a genuine desire to understand end-to-end processes and identify improvement opportunities.
  • Ability to handle confidential and sensitive information with discretion and integrity.
