The Purchasing Agent is responsible for executing tactical purchasing activities for assigned vendors, products or services. This role primarily focuses on coordinating, facilitating and managing programs assigned to this position in support of all North American Sunrise communities. Additionally, the Purchasing Agent will require coordination and implementation of new supplier agreements into corporate order guides and blocking of non-approved products. Will also assist in tracking and processing rebates and purchasing incentives received into the department. Will serve as a support interface between corporate Purchasing, communities, field operations, and suppliers. The Purchasing Agent acts as a key liaison between corporate Purchasing, internal stakeholders, field operations, external stakeholders and supplier partners. Success in this role requires strong teamwork, effective communication, the ability to collaborate across multiple disciplines, prioritize daily tasks, and understanding accounting within a complex corporate structure.

RESPONSIBILITIES & QUALIFICATIONSEssential Duties

As a part of the Sunrise team, supporting our Mission, Principles of Service and Core Values is a fundamental part of this job. Our foundational belief is the sacred value of human life. The unique responsibilities for this role include but are not limited to the essential functions listed as follows:

Bids and Program Implementation
  • Assist with solicitation of vendor Requests for Information (RFI) and Requests for Proposal (RFPs).
  • Assist with the interpretation and analysis of technical data to evaluate competitive bids for the procurement of products and services.
  • Create a contract and agreement summary for distribution.
  • Utilize the established program implementation process to communicate new programs across the organization.
  • Monitor both vendor and Sunrise community compliance post implementation, including cost and product availability for supplies vendors and cost and service level fulfillment for service vendors.
Formulary Management
  • Manage, maintain, and keep current all supplier formularies to support Sunrise standards while meeting resident needs by working with vendors, manufacturers, e-commerce partners, GPOs, and communities.
Service Scope Management
  • Manage, maintain, and keep current vendor service scopes to support Sunrise standards while meeting resident needs, including identifying gaps and updating contracts as needed.
Vendor Relationship Management
  • Resolve reports of vendor performance deficiencies from communities and corporate or field personnel.
  • Schedule and attend periodic business reviews.
  • Devise plans for vendor performance improvement and process streamlining.
  • Add or remove communities from contracts and programs due to openings, acquisitions, or divestitures.
  • Ensure Sunrise remains in good standing regarding invoice payments and financial obligations.
  • Manage periodic administrative fee or spend rebate financial returns from vendors.
  • Collaborate with internal teams to ensure vendor compliance with negotiated terms.
  • Provide product and service scope guidance to stakeholders.
Additional Responsibilities
  • Communicate regularly with Sunrise communities, Operations, Accounts Payable, General Ledger Accounting, and Information Technology.
  • Maintain compliance in assigned required training and all training required by state/province or other regulating authorities as applicable to this role to ensure that Sunrise standards are always met.

Experience and Qualifications

  • Four-year degree.
  • Minimum of one year of related experience.
  • Purchasing and vendor process knowledge.
  • Advanced skills with Microsoft Excel, Word, and Adobe Acrobat.
  • Experience with e-commerce systems preferred.
  • Experience in product specification, program analysis, quantification, and contract administration strongly preferred.
  • Oracle PeopleSoft experience strongly preferred.
  • Long-term care or healthcare experience preferred.
