Summary of Position

The Estate Coordinator is responsible for delivering exceptional food, wine, retail, and hospitality experiences across all estate operations. This role supports the day-to-day execution of the winery experience, including Retail, Concierge, Tours, the Entourage Room restaurant, and Amphitheatre (AMP) events.
The Estate Coordinator plays a key leadership role by supporting staff development, maintaining operational standards, ensuring smooth daily execution, and creating memorable guest experiences that encourage return visits.

Duties & Responsibilities
Guest Experience
  • Deliver exceptional guest service across all estate touchpoints including Retail, Concierge, Tours, AMP events, and the Entourage Room.
  • Collaborate with the Assistant Estate Manager to maintain and elevate customer experience standards.
  • Develop and implement best practices, systems, and operational procedures to enhance guest satisfaction.
  • Address guest concerns, questions, and service recovery situations professionally and promptly.
  • Support and execute unique winery experiences, tasting programs, and group tours.
Estate Operations
  • Oversee setup, execution, and closing procedures for daily winery operations.
  • Support implementation and execution of winery tastings, group tours, estate events, and Amphitheatre experiences.
  • Utilize operational tools such as floor plans, transfer sheets, event packages, and organizational documents to ensure consistency and efficiency.
  • Ensure all guest-facing areas remain clean, organized, stocked, and service-ready.
  • Act as Manager-on-Duty during assigned shifts, overseeing staff and estate operations.
Restaurant & Hospitality
  • Support daily operations within the Entourage Room restaurant and hospitality spaces.
  • Monitor food quality, presentation, cleanliness, and service standards throughout service periods.
  • Guide staff performance and provide coaching to maintain consistency and hospitality excellence.
  • Assist with execution of themed food and wine pairings, seasonal features, and special dining experiences.
  • Ensure restaurant opening, service, and closing procedures are completed to standard.
Retail & Concierge
  • Open and close retail operations, including float counts, checklist completion, and till management.
  • Maintain retail presentation standards and ensure boutique readiness for guests.
  • Assist with inventory management, restocking, and reporting maintenance or supply needs.
  • Train and support staff on product knowledge, wine education, and sales techniques.
  • Support Concierge operations including reservations, guest arrivals, and large group coordination.
AMP & Events
  • Support execution of Amphitheatre concerts, estate events, weddings, and private functions.
  • Assist with event planning logistics, setup coordination, and operational execution.
  • Ensure smooth communication between departments during large-scale events and busy operational periods.
  • Support staffing coordination and operational readiness during events.
Leadership & Staff Development
  • Supervise and support estate staff to ensure operational goals and service standards are achieved.
  • Delegate responsibilities effectively while maintaining accountability and teamwork.
  • Coach, mentor, and train staff to encourage professional development and internal growth.
  • Foster a motivated, collaborative, and positive team environment.
  • Support onboarding and continued staff training initiatives.
Administrative Duties
  • Perform bank deposits, coin orders, and till balancing.
  • Manage inventory levels and operational supply ordering within designated areas.
  • Assist with signage creation and maintaining brand presentation standards.
  • Support scheduling, operational planning, and administrative projects as assigned.
  • Assist the Assistant Estate Manager with additional duties and estate initiatives as required.
Qualifications
Education & Experience
  • Post-secondary education preferred.
  • 2-3 years of hospitality, retail, sales, restaurant, or customer service experience.
  • Smart Serve certified.
Skills & Abilities
  • Strong leadership and organizational skills.
  • Ability to multitask and perform in a fast-paced environment.
  • Strong communication and problem-solving abilities.
  • Proficient in Microsoft Outlook, Word, and Excel.
  • Sound knowledge of wines and wine service.

Availability
  • Availability to work 5 days per week during peak summer season.
  • Must be available weekends, holidays, evenings, and event dates throughout the year.
