Luxury Estate & Household Manager

Reports To: Director of Executive Operations

Position Summary

We are seeking an exceptional Estate & Household Manager to oversee the daily operations of a private family estate and multiple properties. This individual will be responsible for ensuring every aspect of the home, grounds, vendors, maintenance, projects, and household operations run seamlessly.

This role requires a proactive leader who thrives in a fast-paced, high-expectation environment. The ideal candidate anticipates needs before they arise, creates systems that improve efficiency, and maintains an uncompromising standard of excellence.

This is not a housekeeping position. This is an operations leadership role responsible for managing the estate as though it were a luxury hospitality property.

Primary ResponsibilitiesEstate Operations
  • Oversee the day-to-day operation of all residences and properties.
  • Conduct regular walkthroughs to ensure every space is maintained to the highest standard.
  • Develop preventative maintenance schedules for all homes, buildings, equipment, and amenities.
  • Maintain detailed records for warranties, manuals, repairs, and service history.
  • Ensure each property is guest-ready at all times.
Vendor & Contractor Management
  • Hire, schedule, and supervise all household vendors and contractors.
  • Obtain bids for projects and negotiate pricing when appropriate.
  • Manage landscaping, pool service, HVAC, plumbing, electrical, security, pest control, housekeeping services, and other vendors.
  • Hold vendors accountable for quality, professionalism, and deadlines.
  • Verify work is completed to expectations before approving completion.
Household Management
  • Manage household inventory and supplies.
  • Oversee household organization and storage systems.
  • Coordinate seasonal maintenance and holiday preparation.
  • Ensure all household systems operate efficiently.
  • Maintain luxury-level presentation throughout the home.
Project Management
  • Coordinate home improvement projects, renovations, and installations.
  • Track project budgets and timelines.
  • Communicate regular project updates to the Director of Executive Operations.
  • Resolve issues before they impact the family.
Property Administration
  • Maintain household budgets and vendor records.
  • Track service contracts, insurance information, and recurring maintenance.
  • Organize permits, warranties, appliance information, and property documentation.
  • Maintain digital records for all estate operations.
Family Support
  • Coordinate with the Personal Assistant, Childcare Lead, and Executive Operations team to ensure seamless support for the family.
  • Assist with preparing the home for guests, holidays, and special events.
  • Ensure household logistics support the family's schedule without requiring direct involvement from the principals.
Leadership Responsibilities
  • Supervise household staff and service providers.
  • Build systems and standard operating procedures.
  • Create accountability with vendors and contractors.
  • Maintain confidentiality and professionalism at all times.
Qualifications
  • Experience managing luxury estates, private residences, boutique hospitality, or executive households.
