Job description

A private, active Bay Area family of four with a strong appreciation for the outdoors and a nature-driven lifestyle is seeking a highly polished, service-driven Estate Manager to join their team and work in collaboration with their current Estate Manager. This individual will play a pivotal role in ensuring the seamless operation of a 14,000 sq. ft. primary residence, while supporting a portfolio of five additional properties, all maintained to a luxury hospitality standard comparable to a European five-star hotel. The general schedule will be Monday through Friday with a 24/7 mindset. Some weekend coverage will be required.

This is a unique opportunity for a top-tier professional to bring structure, discretion, and operational excellence to a dynamic and evolving household.


Include, but are not limited to:

Property & Estate Management

  • Oversee the maintenance, repair, and overall condition of all residences and grounds 
  • Coordinate renovations, landscaping, and seasonal projects 
  • Ensure each property is fully prepared before the principal’s arrival 
  • Develop, refine, and maintain comprehensive household checklists and systems 
  • Oversee maintenance schedules for vehicles 
  • Identify opportunities to enhance home technology and manage implementation 

Vendor & Contractor Management

  • Source, vet, hire, and supervise vendors and subcontractors 
  • Negotiate contracts and manage service agreements 
  • Ensure all work meets established standards and timelines 

Security & Risk Management

  • Collaborate with external vendors to maintain and enhance estate security systems 
  • Implement and manage emergency preparedness and risk mitigation protocols 

Principal & Office Liaison

  • Serve as the primary point of contact between the principals, family office, and vendors 
  • Anticipate needs and respond promptly with discretion and professionalism 

Household Operations & Leadership

  • Oversee and support the household staff 
  • Develop and implement house manuals to ensure operational continuity 
  • Provide regular (weekly) status reports across all properties 
  • Monitor household patterns, including seasonal usage and weather-based transitions 
  • Manage budgets over time, with increasing responsibility 
  • Pet care as needed (feeding dogs and chickens)

  • Minimum 7+ years of experience as an Estate Manager, Household Manager, or similar role 
  • Strong leadership, organizational, and communication skills (written and verbal) 
  • Proven ability to implement systems and manage complex operations 
  • Deep understanding of property maintenance, landscaping, and luxury service standards 
  • Experience with vendor sourcing, negotiation, and management 
  • Technologically proficient with the ability to oversee smart home systems 
  • Highly detail-oriented, intuitive, and proactive 
  • Excellent interpersonal skills with a service-oriented mindset 
  • Collaborative team player who can also work autonomously
  • Demonstrates discretion, confidentiality, and professionalism at all times 
  • Flexible schedule, including evenings, weekends, and holidays as needed 
  • Pet/Animal friendly - The family has dogs and chickens

  • Valid driver’s license with a clean driving record
