Job description

We are looking for an Administrative Coordinator to support daily office operations and help keep communication, scheduling, and documentation running smoothly in Rochester, New York. This contract opportunity with permanent potential is ideal for someone who is organized, responsive, and comfortable managing multiple administrative priorities in a fast-paced environment. The person in this role will serve as a central point of coordination for calendars, incoming calls, and internal records while contributing to efficient team workflows.
Responsibilities:
• Manage schedules and coordinate appointments, meetings, and other calendar-related activities to ensure time is used effectively.
• Respond to inbound calls professionally, direct inquiries appropriately, and relay accurate information to internal teams and external contacts.
• Provide administrative support across day-to-day office functions, helping maintain organized processes and dependable follow-through.
• Prepare, update, and maintain process-related documents so procedures are clearly recorded and easy for teams to reference.
• Create and revise software documentation to support users, improve clarity, and keep materials aligned with current practices.
• Track action items, follow up on pending tasks, and help ensure deadlines and administrative requests are completed on time.
• Maintain orderly digital and administrative records to support reporting, communication, and operational consistency.

• Previous experience in an administrative support, coordination, or office operations role.
