Job description

Position/Title: Administrative Assistant

FLSA Status: Non-Exempt

Dept/Office: Ancillary Revenue, Parking

Date: June 4, 2026


Position Summary

The Administrative Assistant must be a team player and always maintain the utmost professionalism. Responsible for a variety of administrative, clerical, and operational tasks, including answering & directing communications, receiving visitors, processing office requests, maintaining records and credentials, and assisting management with related tasks. Strong attention to detail, initiative, accuracy, and desire to grow will be highly valued.

Must be available in-person in Atlanta (30305), Monday through Friday from 8:00am โ€“ 5:00pm. This position is supervised by the Parking Facilities Manager & Operations Manager.


Specific Duties & Responsibilities (Essential Job Functions):

  • Front desk coverage: greeting office visitors and stakeholders with a positive, enthusiastic, and friendly attitude, assisting in any way available and permitted and answering the primary office phone, as well as the secondary customer service intercom as needed
  • Prepare, edit, distribute, and maintain various correspondences, communications, and office documents, forms, and logs
  • Assist in responding to and monitoring guest issues/comments in a professional, courteous manner
  • Maintain office space and adequate inventory of office supplies and equipment
  • Develop and maintain positive relations with retailers, office tenants, and vendors
  • Activate and deactivate access credentials via multiple systems
  • Work efficiently with multiple departments and vendors ensuring real-time communication and follow-through (e.g. I.T., engineering, security, etc.)
  • Log, manage mail and packages; coordinate distribution to staff or stock as necessary
  • Assist with client billing account maintenance by way of activations, enrollments, terminations, forwarding invoices, AR collections, receipts, etc.
  • Maintain and organize tenant and vendor files
  • Other responsibilities as requested




Other Job Requirements

  • Provide backup on various administrative tasks as assigned
  • Assist with general maintenance of office area
  • Assist with client billing account administration, including responding to escalated billing inquiries, printing and billing orders, and aged balance collection efforts while maintaining strong client relationships
  • Must wear a uniform that will be provided by Jamestown, or conform to dress code as approved by Management


Qualifications

  • Minimum 1-2 years of clerical or administrative experience, preferably in corporate office or hospitality fields
  • Bachelorโ€™s degree or equivalent experience in lieu of formal education
  • Strong organizational and planning skills required
  • Exceptional communication and interpersonal skills with a customer-service focus
  • Proficiency in Microsoft Office (Outlook, Word, and Excel)
  • Familiarity with parking system operations, management, and software a plus
