ADMINISTRATIVE COORDINATOR
Fulton County Sheriff's Office is seeking a highly skilled administrative professional to provide comprehensive high-level administrative, operational, and organizational support, ensuring efficient administrative operations and contributing to the smooth functioning and support of daily activities across the Agency. This role ensures the executive office functions efficiently by managing daily workflows, coordinating communication, supporting meetings and projects, and maintaining accurate documentation. The Administrative Coordinator is a key partner, streamlining processes, and enhancing the overall effectiveness of the office. Responsible for preparation of reports, spreadsheets, correspondence, presentations, and other documents, and requires proficiency in Microsoft Office and various administrative tasks, excellent communication skills, strong organizational skills, attention to detail, the ability to handle multiple tasks simultaneously, the ability to work effectively in a fast-paced environment, and professional decorum and a consistently pleasant demeanor.
ESSENTIAL DUTIES & RESPONSIBILITIES
Executive Office Administration
  • Manage daily administrative operations, including scheduling, calendar coordination, and deadline tracking.
  • Prepare, edit, and format documents, presentations, and reports.
  • Maintain organized digital and physical filing systems, ensuring information is accessible and up to date.
  • Perform support functions for executive-level tasks, providing reliable backup coverage when needed.

Communication & Correspondence
  • Draft, proofread, and distribute professional correspondence, announcements, and internal communications.
  • Triage incoming emails and inquiries, routing items appropriately and ensuring timely responses.
  • Serve as a liaison with internal divisions, external partners, and stakeholders.

Meeting & Event Coordination

Minimum Qualifications:
Five (5) years of high-level administrative support, preferably in a municipal environment. Specific License or Certification Required: May require possession and maintenance of valid State of Georgia Notary Public certification.

Provides administrative/secretarial support for management and/or staff of assigned department/division: relieves management staff of routine administrative tasks; screens telephone calls, mail, e-mail, and other communications and initiates appropriate action/response; records and transcribes dictation; types, composes, edits, or proofreads various documentation; maintains calendars and schedules meetings, appointments, interviews, or other activities; coordinates travel arrangements, accommodations, conference registrations, or related plans for department staff.
Processes documentation pertaining to budget or general financial management; reviews invoices for accuracy, matches with purchase orders; enters budget data into computer; assists with budget preparation; provides budgetary input and assists in forecasting revenues/expenditures; enters daily revenue into computer and generates revenue reports; reviews monthly budget analysis reports; monitors expenditures to ensure compliance with approved budget; processes budget transfers as needed; reconciles payable records with Finance Department records prepares bank deposits; coordinates internal accounting activities; maintains current balances for accounts; and maintains departmental petty cash funds
