Responsibilities
The Operations Coordinator position is responsible for managing and coordinating various tasks, process and activities within the program to ensure a smooth and efficient operations. Additionally, they are responsible for planning and scheduling activities, coordinating and communicating with internal and external stakeholders, monitoring and evaluating the performance and quality of operations, implementing, enforcing, and updating policies and procedures. The Operations Coordinator is also tasked with leveraging system data to produce regular department reports, coverage analysis, audits, and other business-related needs.
Essential Job Functions:
  • Perform day to day administrative tasks associated with the program
  • Responsible and manages the new hire process
  • Maintain informational data fields ("tags") within key systems (including, but not limited to, SalesForce, Kronos, and OneSource, etc)
  • Audit existing database content for discrepancies and update / correct errors and inconsistencies as needed
  • Collaborates with managers to establish and improve operational procedures, policies, and processes.
  • Identifying and resolving operational issues to maintain efficiency
  • Prepare presentations, status reports, and visual materials
  • Develop and execute reporting as needed
  • Use system data to perform light analysis for business or program needs and report out findings (examples: density of reps in an area, correlation between reps with a required skillset to a particular work assignment, etc.)
  • Daily communication (phone / email) with select program leaders and front-line representatives
  • Work closely with WorkForce Management Admin team and Geo-Information Services (GIS) team to ensure data is accurate / consistent across multiple MarketSource software platforms.

Qualifications
Job Requirements:
  • 1+ Years experience in similar support / operational role
  • Bachelor's Degree and/or equivalent work experience
  • Experience maintaining data structures (geo-locations / system tags)
  • Experience with WFM and Survey Platforms (SalesForce, Kronos, etc)
  • Occasional weekend shifts may be required as part of this role

Required Knowledge, Skills, and Abilities:
  • Understanding of business systems/processes and client expectations
  • Proactive and self-motivated with an entrepreneurial "can do" attitude
  • Working knowledge of the Internet and web-based data collection and reporting
  • Ability to prioritize, organize, problem solve, meet deadlines and goals
  • Ability to communicate effectively and provide follow-up
  • Ability to work collaborate effectively with others
  • Strong written/oral communication and interpersonal skills
  • Attention to detail and accuracy
  • Ability to manage multiple tasks and prioritize effectively
  • Intermediate to advanced user with Microsoft Office Products, Apps and Services
