Job description

Position Overview
We are seeking a detail-oriented Accounts Payable Assistant to support the accounting team with invoice processing, payment administration, account maintenance, and vendor communications. The ideal candidate will have prior accounting or accounts payable experience, strong organizational skills, and the ability to work effectively in a fast-paced environment while meeting deadlines.


Key Responsibilities
  • Process and review vendor invoices, employee expense reports, and payment requests for accuracy and completeness.
  • Verify proper account coding and ensure transactions are recorded in accordance with company policies and accounting procedures.
  • Review supporting documentation to confirm appropriate approvals, compliance, and accuracy before processing payments.
  • Prepare and assist with payment processing activities, including checks, ACH transactions, and electronic payments.
  • Maintain accurate financial records and ensure transactions are entered into accounting systems correctly.
  • Respond to vendor and internal employee inquiries regarding payments, invoice status, and account discrepancies.
  • Research and resolve billing issues, payment discrepancies, and documentation concerns.
  • Assist with account reconciliations and other general accounting functions as needed.
  • Utilize accounting software, spreadsheets, and reporting tools to support daily accounting operations.
  • Collaborate with internal departments to ensure timely and accurate payment processing.

Qualifications
  • High school diploma required; Associate degree in Accounting, Finance, or a related field preferred.
  • Minimum of 1 year of general accounting experience required.
  • Previous Accounts Payable experience preferred.
  • Proficiency in Microsoft Excel and Microsoft Word.
  • Strong attention to detail and accuracy.
  • Excellent verbal and written communication skills.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Strong problem-solving, organizational, and interpersonal skills.
