Duties

Administrative Duties

  • Answer and direct incoming phone calls and emails.
  • Schedule and obtain DBIDS for staff as directed.
  • Enter timesheets into customer/vendor portals.
  • Schedule and administer required online training for new employees.
  • Schedule and maintain records for employee drug screenings and other medical testing.
  • Maintain organized electronic and physical filing systems.
  • Assist with data entry, document preparation, and record management.
  • Coordinate office supplies inventory and ordering.
  • Schedule meetings and assist with calendar management as needed.

Accounts Payable Duties

  • Review, verify, and process vendor invoices for accuracy and proper authorization.
  • Match invoices with purchase orders, receipts, and supporting documentation.
  • Enter accounts payable transactions into accounting software.
  • Reconcile vendor statements and resolve discrepancies in a timely manner.
  • Maintain vendor files and update vendor information as needed.
  • Respond to vendor inquiries regarding payments and account status.
  • Assist with month-end closing activities and accounts payable reporting.
  • Ensure compliance with company policies and accounting procedures.

Qualifications

  • High school diploma or equivalent required; Associate degree in Accounting, Business Administration, or related field preferred.
  • 1–3 years of accounts payable, bookkeeping, or administrative experience preferred.
  • Proficiency in Microsoft Office Suite, particularly Excel, Word, and Outlook.
  • Experience with accounting software (QuickBooks, Sage, NetSuite, or similar) preferred.
  • Strong attention to detail and accuracy.
